Job Summary
The Client Services Representative/Receptionist - Cowden position is responsible for providing receptionist and general office support for the 2nd shift operations of the Cowden Center. Provides excellent customer service to internal and external customers. Will provide office support relief to Health Management Services (HMS) department as needed.
- Performs functions related to scheduling, coordinating, and setting up meetings and classes.
Closes the Cowden Center building. Reconciles petty cash nightly as needed. Coordinates meetings for the Cowden Center, North Dining Room, NSSC 2nd floor conference room, NSSC Auditorium and the NSSC Cafeteria. Coordinates room reservations for meetings, classes, and special events, including utilizing Scheduler PLUS reservation software and Microsoft Outlook software. Registers community, physicians and volunteers for OSD classes utilizing NetLearning. Process all monies for community, physicians and volunteers for class registration. Register and process monies for birthing classes. Handles inquiries for classes and events in a professional manner. Is knowledgeable on all classes and events in order to answer questions and provides descriptions to callers as evidenced by observation. Maintains forms and records in accordance with the meeting. Determines Audio/Visual equipment and furnishings needs and assigns items to meetings in Scheduler PLUS - bringing conflicts due to over-booking to the attention of management. Accurately sets up Audio/Visual equipment and furnishings as needed including on-time delivery and pick-up. Determines equipment needs and coordinates appropriate rental company delivery and pick up when necessary. Prepares furnishings set-up drawings for Environmental Service staff as needed. Prints nightly the Audio/Visual set-ups report, the Furnishings set-ups report, and the Daily Activity listing of all meetings and leaves for Cowden Audio-Visual Tech or other assigned first shift staff. Emails Daily Activity and Weekly Activity reports to assigned recipients.
- Performs receptionist duties to support the department and management.
Customers are greeted and directed appropriately according to specified standards as demonstrated by observation and feedback. Process monies as needed for Health Management Services. Handles all customers needs, internal and external, in a professional, friendly manner. Serves as a central information source for both the community and the network. Acts in a professional manner in accordance with departmental and HonorHealth standards and policies and procedures.
- Performs functions in support of Fiesta Presents accordance with HonorHealth standards.
Handles sales transactions and keeps accurate records of items sold. Makes deposits. Updates master file of events, activities, employee discounts, and other related materials. May provide customer service to the following locations to ensure building needs are met: Treasure Trove, Cowden Center and other buildings assigned by Manager/Director. Performs other duties as assigned.
