Description
The Clinic Operations Manager (CNPA) will manage the day-to-day operations of practice. Will coordinate assignment of tasks to support staff, supervise performance of staff, ensure efficient and cost-effective operations and implement goals, objectives, practice policies and procedures. Will proactively engage in service excellence and business planning and financial management. Qualifications
Minimum Education Degree Bachelor's Degree and 3 years of related work experience. Five (5) years of related work experience may be substituted in lieu of educational qualifications. Master's degree preferred Minimum Work Experience 3 years of experience in a healthcare and or practice setting preferred. 5 years of experience preferred. 2 years of supervisory experience required. Required Skills/Knowledge Excellent interpersonal and written communications skills.Must have knowledge of physician practice operations, process and quality improvement.Ability to lead staff performance as well as conduct disciplinary actions Functional Accountabilities Clinic Operations Management Provide direct oversight of day-to-day operations of the practice; troubleshoot operational issues and develop action plans to resolve. Develop performance standards to achieve practice goals, develop and implement policies and procedures. Ensure accuracy of work/registration process by staff; implement training and testing of staff skills/knowledge. Optimize time-of-service collections and ensure cash collection processes are performed completely and accurately. Participate in the evaluation of current business as well as new program initiatives Ensure adherence to corporate policies and procedures. Budget Ensure that vendor invoices are entered in Brea Resource to be processed timely. Monitor supplies and place orders as necessary. Review monthly practice performance reports with practice leadership team to ensure expenses are within budgeted projections. Participate in the development of annual operating budgets. Review existing vendor contracts and propose changes to optimize cost/benefit. Quality Control Implement monthly customer satisfaction surveys and work with physician leader and QI specialist to make improvements as indicated by survey results. Ensure quality of registration process by reviewing registration errors as indicated by insurance denials and provide feedback to staff. Lead performance improvement initiatives as identified by management team. Ensure performance boards are implemented and updated. Human Resources In collaboration with management team, hire, train, develop, mentor administrative staff and provide on-going performance feedback. Conduct performance evaluation and manage staff performance goals. Conduct corrective and disciplinary actions as needed. Establish work schedules for staff. Assign duties to staff and allocate staff resources to optimize staff skills & expertise. Administrative & Facility Management Perform administrative tasks such as payroll, time records, requisitions and OCR entry into Bear Resource Finance. Perform other administrative duties as assigned and deemed necessary for the practice. Deliver Set and clearly communicate team goals and priorities in alignment with departmental goals and budgets Develop the budget and assign resources to meet the team goals Provide the resources and guidance required for employees to perform effectively Develop procedures to ensure high safety and quality, and course-correct as neededIdentify customers' needs and ensure service excellence in meeting those needs Engage Be the link between the department and the team in defining the strategies to meet team goals Provide prompt and clear feedback to staff and support their performance Ensure team adherence to organizational regulations Manage the working environment to promote productivity and motivation Represent the team in clearing obstacles to high performance Hire staff and develop their capabilities Monitor and promote strong employee engagement Grow Encourage and share new ways of making the right work easier to do Recognize and share incremental improvements in operations Promote the success of organizational and department initiatives by clearly aligning programs to the mission Full-Time Salary Range: 64729.6 - 107889.6 Primary Location
