Job Summary

Assists, tracks, and organizes administrative activities through applying fundamental knowledge. Serves as a liaison between office and the residency or fellowship program.

Essential Functions

  • Assists with components of ACGME Accreditation to include tracking and gathering data as needed, planning for Annual Program Evaluation (APE), Program Evaluation Committee (PEC), Clinical Competency Committee (CCC) meetings and any accreditation site visits.

  • Creates evaluations in the New Innovations Residency Management system, distributes evaluations and tracks completion as instructed by the GME Program Administrator; supports resident/fellow scheduling as instructed by GME Program Administrator to include inputting schedule in New Innovations Residency Management system; monitors schedule for accuracy; enters call schedule; tracks vacations and conferences; runs clinical learning work hours compliance reports for review.

  • Assists with HR functions to include completion of verification letters, monitoring licensure, life support certification training and any mandatory training requirements; track resident/fellow time off (vacations, conferment time, sick days, etc.).

  • Assists with all phases of recruitment, orientation, and graduation processes at the program level; assist GME Program Administrator with program recruitment process, including registration in NRMP, activity in ERAS, SOAP process, application review, interview season, and Rank meeting scheduling.

  • Supports annual didactic schedule planning, including tracking conference attendance.

  • Orders supplies for residency program, which may include items for workrooms, call rooms, and promotional items for program recruitment.

  • Prepares resident/fellow reimbursement reports assisting with travel arrangements in conjunction with the GME Program Administrator.

  • Work with the program leadership on maintaining program communications, including updates to the GME program website, distributing policies/procedures applicable to the program; schedules administrative meetings, prepares agenda and materials, takes minutes and distributes as deemed appropriate; manages contact database for residents/fellows, faculty, and graduates.

  • Acts as contact for visiting residents/fellows from other institutions and communicates per GME Program Administrator's instructions.

  • Assists GME Program Administrator with organizing wellness events, coordinates all arrangements, assists with oversight of events.

  • Performs other duties as assigned.

Supervisory/Management Responsibilities

  • This is a non-management job that will report to a supervisor, manager, director or executive.

Minimum Requirements

  • Education - Associate degree. Bachelor's degree preferred.

  • Experience - One (1) year of Administrative Assistant or office experience. Healthcare or academic institutional experience preferred.

In Lieu Of

  • Two (2) years of related experience may be considered in lieu of minimum requirements listed above.

  • New Innovations, GME Track, ERAS, FRIEDA, NRMP, ACGME WebADS skills preferred
