Employee Relations Assistant Department of Human Resources Full time, Hourly
Hourly Pay Rate: $19.49 - $29.24

POSITION OVERVIEW: We are seeking a highly organized and detail-oriented Employee Relations Assistant to join our HR team. This role will support various HR functions including updating and maintaining employee records, processing certifications, and assisting with compliance-related tasks. The ideal candidate will have a strong background in HR processes, excellent data entry and Excel skills, and a commitment to maintaining confidentiality and accuracy.

KEY RESPONSBILITIES:



  • HRIS Management:


    • Update employee status changes, corrective actions, demographic details, reporting relationships, certifications, and licenses in the HRIS.


  • Candidate Management:


    • Review and verify certified candidate lists, draft and send offer letters, and route candidate pre-employment questions.
    • Send New Employee Orientation (NEO) invitations and disposition candidates.


  • Separation and Compliance Documentation:


    • Confirm receipt and upload separation documents, including benefit information letters, to the electronic file.
    • Verify and complete I-9 documentation, process department-specific compliance requirements, and maintain CDL holders' information.
    • Assist HRBP with audits and accreditation information gathering.


  • Employee Record Management:


    • Complete short-term disability forms and prepare requested correspondence (i.e., employment verification not handled by The Work Number).
    • Handle record requests and refer to the open records team as needed.


  • Unemployment Insurance & Wage Verification:


    • Support HRBP with Unemployment Insurance (UI) requests, research employee files for necessary information, and liaise with managers/HRBP to gather data on paid time off (PTO), vacation, sick, and pension benefits.
    • Enter Wage Verification information into Equifax.


  • File and Document Maintenance:


    • Create and maintain electronic personnel/confidential files and upload related documents.


  • Additional HR Support:


    • Provide ad hoc reporting as needed, process vacation slips, and facilitate NEO for seasonal employees.
    • Provide support at the HR front desk (HR suite) when needed.
    • Other duties as assigned.



MINIMUM QUALIFICATIONS



  • Current resident of the State of Wisconsin
  • Valid WI Driving License
  • High school diploma or GED equivalent.
  • One (1) or more years of work experience in HR administration, payroll (i.e., HRIS - Dayforce) or in an Administrative Assistant role required.



KNOWLEDGE, SKIILS AND ABILITIES:



  • Associate degree preferred with less than one year of experience.
  • Strong data entry skills with proficiency in Excel (intermediate level preferred).
  • Experience working with HRIS systems is highly desirable.
  • Strong attention to detail and accuracy in all tasks.
  • Ability to maintain confidentiality and handle sensitive information.
  • Excellent communication and organizational skills.


Physical Requirements:



  • Ability to work at a desk for extended periods.
  • Occasional need to assist at the front desk.
