Job Summary:

The Department of Medicine's Front Desk Business Services Professional is responsible for meeting the demands of the department in a fast-paced environment. This Professional must collaborate with leadership, stakeholders, and administrative staff to ensure administrative tasks are completed at a high level; as well as develop and improve operational processes. In addition, they will meet the highest standards of excellence and attention to detail. This position must acquire the job knowledge to respond to the growing administrative, managerial, academic, clinical, and student services needs of the department. Characteristic duties and responsibilities may change over time to reflect the evolving needs and priorities of the department. Key Responsibilities:
- Provide high-level customer service by greeting guests and orienting with the Department of Medicine Administration Office, including mail distribution and ordering office supplies.
- Responsible for arranging candidate and special guest visits for the department, which includes Creating detailed and accurate candidate visit agendas, ensuring all components align with the expectations of both faculty and leadership. Escorting candidates during their visit and representing the department in a professional and welcoming manner. Facilitating town halls and other high-profile events that require excellent organizational skills and the ability to engage with diverse stakeholders at varying levels of the organization.
- Assist with organizing events for the chair and vice chairs including but not limited to: overseeing and communicating with vendors, securing and managing event spaces, arranging national and international travel, obtaining necessary licenses, and arranging special accommodations.
- Oversee the department Chair's conference room and open space reservations. Ensuring both spaces are presentable and ready for use. This also includes managing the equipment checkout process for these spaces. (i.e., Lockers, IT accessories).
- Assist with the ongoing programs and priorities of the Department, including but not limited to: Faculty Development, Mentorship, Well-Being, and Philanthropy. This includes organizing and supporting faculty affairs seminars, managing speaker logistics, handling complex communications, conducting budget analysis, and making complex decisions with minimal oversight.
- Provide professional-level support to the Director of Philanthropy, including scheduling meetings, coordinating logistics, tracking action items, and preparing presentation materials (ad hoc).
- Coordinate and provide guidance on departmental and educational meetings, including meeting set-up, communications, catering, materials preparation, minutes, etc. Meetings may include, but are not limited to, faculty meetings, committee meetings, Grand Rounds, conferences, retreats, ceremony events, etc.

Hybrid - this role is eligible for a hybrid schedule of 4 days per week on the Anschutz Medical Campus and as needed for in-person meetings.

Qualifications:
|
Minimum Qualifications: Entry Level:
- A bachelor's degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.
- A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year-for-year basis.
Intermediate Level:
- A bachelor's degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.
- A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year-for-year basis.
- One (1) year of professional level business administration experience.
Applicants must meet minimum qualifications at the time of hire. Preferred Qualifications:
- Two (2) or more years of experience in an administrative role for a higher education institution.
- Experience providing technical assistance to faculty and staff within higher education and/or medical education environment.
- Experience working with CU software such as Marketplace and Concur.
- Experience working with vendors.
Knowledge, Skills and Abilities:
- Ability to communicate effectively, both in writing and orally.
- Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.
- Outstanding customer service skills.
- Demonstrated commitment and leadership ability to advance diversity and inclusion.
- Advanced skills in Microsoft Office Suite.
- Highly organized with the ability to multitask in a fast-paced environment.

Anticipated Pay Range:
|
The starting salary range (or hiring range) for this position has been established as: Entry Level: $49,974 - $63,567 Intermediate Level: $54,383 - $69,175 The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level. Your total compensation goes beyond the number on your paycheck.
