The Office of Admissions is responsible for all recruiting and admission functions for the University of North Carolina School of the Arts. The office processes and mails all requests for information about the programs of study, processes all applications submitted for the academic year and academic summer programs, arranges all auditions and interviews,
handles all contacts with prospects, applicants and parents whether by phone, email, letter or in person requests. The Office conducts daily campus tours, coordinates and handles group tours, organizes and conducts fall and spring Open Houses, greets and counsels walk-ins, telephone, and email prospects and applicants. The Office works closely with Arts Deans,
faculty and staff as well as other support areas on campus.
Primary Description of Work
* Assist the Office of Admissions' data assurance processes that include managing, collecting and providing accurate data across the UNCSA campus.
* Work with the Director of Admissions to provide efficient daily operations.
* Assist managing the data crosswalk between the Slate CRM and Banner SIS, ensuring all data is accurate and updated in a timely manner.
* Assist managing the assignment of transcripts to applicant files through the CRM batch acquire intake system.
* Assist managing faculty and staff user permissions within the Slate CRM system.
* Update Banner student records as needed ranging from residency determination to rectifying
export errors.
* Work with the Assistant Director of Recruitment and the Strategic Communications department
to create recruitment events and registrations within the Slate CRM.
Work Schedule and hours
Monday-Friday with occasional
evening/weekend work, as needed
8:00 a.m. - 5:00 p.m. with occasional evening & weekend hours, as needed.
Description of Responsibilities and Duties
Advises and counsels prospective students and parents on admission requirements and policies, transfer information and the audition or interview process. Reviews all application materials prior to the audition or interview to insure that the applicant file is complete, evaluates transcripts and SAT/ ACT scores to insure that applicants meet minimum admission and course requirements mandated by the UNC System. Arranges and conducts information sessions on the day of the audition or interview. Communicates to the applicants and their family's admission decisions and steps to take to enroll. Utilizes the customer relationship management tool to manage applications and required documentation, and to schedule email communication about auditions or interviews and missing documentation.

Conducts daily campus tours providing information and counsel to prospective applicants and their families. Collaborates with other admission counselors about the weekly tour schedule and helps schedule student workers and ambassadors to assist with tours. Provides guidance on giving a tour to student workers and the level of customer services expected. Assists with organizing and scheduling tour dates and makes suggestions on how to improve the process. Answers emails and phone calls daily about the admissions process and meets one-on-one with prospective applicants who drop by the campus for a visit or who have scheduled an appointment with an arts department and want to talk with an admissions counselor. Assists with Open Houses helping arrange information sessions and agenda for the day.

Travels extensively in-state and out-of-state, working evenings and weekends, representing the university at local and national college fairs and events. Schedules appointments with guidance counselors and arts teachers to visit and present information and brochures to increase knowledge and visibility of the programs offered at UNCSA. Utilizes phone, email and mail to communicate with prospective students to motivate student visitations, applications and deposits.

Provides suggestions on new materials that would enhance the visitor experience. Updates job knowledge by participating in educational opportunities and professional organizations.
Minimum Qualifications
The position requires a master's degree. Management prefers at least 3 years in admission or higher education and can demonstrate recruiting management, or sales skills.

Demonstrate excellent written and oral communication skills and well-developed presentation skills. Organized and goal-oriented with superior customer service and networking skills. Possess the ability to maintain a professional demeanor in recruiting environments while representing the university and capable of using discretion to protect the confidentiality of student records.

Must be able to travel extensively in-state and out-of-state, evenings and weekends. Experience working in a flexible, team-oriented environment. Proficient computer skills including Microsoft Office as well as CRM tool experience.

Must have a valid driver's license.
Preferred Qualifications
Admissions and/or experience working in a university setting. Experience providing customer service in a fast-paced work environment. Ability to handle a high volume of telephone inquiries. Excellent oral and written communication skills. Experience working with a customer relationship management system (i.e. Radius, Slate, Salesforce, etc.).
