Buckeye Partners is currently seeking a Facilities Associate with office support experience to join our growing team in Allentown, PA!

Role Summary:

The Facilities Associate is responsible for sorting, distributing, and managing all incoming and outgoing mail and packages for the Allentown office and assisting the Office Facility Lead with various facilities related duties, such as monitoring and maintaining the supply rooms, inventory kitchens for coffee, soda, and water supply, and restocking inventory at copier areas, etc. The Facilities Associate is also responsible to support the East Region Office in Macungie PA as needed.

Essential Duties & Responsibilities include:



  • Customer Service. Providing great customer service interaction with internal and external individuals in meeting office facility needs, equipment and supply needs, handling and effectively resolving office facility Help Tickets, and supporting various office facility maintenance tasks and activities.
  • Mailing Duties. Managing the mail room ensuring all classes of mail including UPS, FedEx, Express Mail, and private carriers are processed daily. Managing US Post office pickups and deliveries daily. Monitor postage level requirements in meters and notify supervisor when there is a problem.
  • Relief Receptionist. Serving as the Relief Receptionist during lunch and time the Receptionist is not in the office.
  • Supply Rooms. Organizing and maintaining all Supply Rooms on a weekly basis as new supplies are ordered and stocked on shelves.
  • Inventory Control. Monitoring and keeping all stock of kitchen suppliers, coffee, soda, water supply, and office supplies.
  • And other duties as assigned.



Position Requirements:



  • High School Diploma or equivalent required.
  • 5+ years related experience.
  • Proficiency using Microsoft Office required and basic knowledge of Outlook.
  • Experience working in an office setting
  • Previous mailroom, clerical, or facilities experience a plus



Certificates & Licenses:



  • Valid driver's license required.



Other Skills, Attributes and Abilities:



  • This position requires someone who can work well under pressure and can handle multiple tasks at once. Should be flexible and willing to adapt and resolve any problem that may arise.
  • Since this position requires contact and communication with personnel on all levels, excellent interpersonal and customer service skills are required.
  • Must be able and willing to spend a large degree of one's time on his/her feet and be able to lift large, heavy packages.
  • This position requires 8-hour shifts during normal business hours. This position requires flexibility to accommodate unscheduled changes in work routine and assigned shifts. Availability to work overtime, weekends, and holidays may be required in the event of an emergency call out with the Allentown and Macungie facilities.
  • This role requires the ability to drive between Company locations in a Company vehicle during shift hours.
  • This position requires the ability to safely and successfully perform essential job functions consistent with ADA, FMLA and other federal, state and local standards, including meeting qualitative and or/quantitative productivity standards.
  • This role requires the ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards.
  • This position requires compliance with all personnel policies.

Physical and Safety Requirements:



  • The person in this position needs to occasionally move inside the office to access file cabinets, office equipment, etc.
  • The employee is frequently required to effectively communicate with others.
