Essential Job Duties
This position provides administrative support to ensure efficient operations in the central Purchasing office, assisting the campus community with procurement processes.
Key Responsibilities:

  • Coordinate various purchasing activities while ensuring compliance with university and state policies regarding RFPs and POs.
  • Review, format, and edit RFP and RFQ documents, ensuring accuracy and completeness.
  • Attach applicable NC State terms and conditions to all RFQ and RFP packages.
  • Manage file formats for posting proposals and attachments on the North Carolina Electronic Vendor Portal (eVP) and Bonfire portal.
  • Complete necessary file edits and convert documents to appropriate formats for posting.
  • Accurately and promptly post RFPs/RFQs, including quotes, supporting documents, due dates, site visit details, and other requirements.
  • Publish solicitation addendums, respond to vendor questions, and update schedules as directed.
  • Receive and record supplier quote responses.
  • Use OnBase to store, track, retrieve, and monitor purchasing documents.
  • Verify the accuracy and compliance of electronic purchase order (PO) packages for reporting purposes.
  • Identify and resolve administrative issues related to the bid solicitation process, recommending improvements when needed.
  • Research and resolve purchasing inquiries or direct them to the appropriate purchasing agent.
  • Assist suppliers with questions regarding the procurement process.
  • Provide backup support for special projects or assignments as needed.

Minimum Experience/Education
  • High school diploma and one year of related office experience; or an equivalent combination of education and experience.
Department Required Skills

  • Computer proficiency with: Internet web based applications; Google Workspace; MS Office Suite or similar software.
  • Email and calendaring to track and ensure tasks are completed accurately and in a timely manner.
  • Strong verbal and written communication skills to interact effectively with diverse campus and vendor based clientele.
  • Strong problem solving, analytical and decision making skills with attention to detail and organizational processes.
  • Requires excellent time management skills and the ability to multitask in a fast paced, deadline driven environment

Preferred Years Experience, Skills, Training, Education

  • Knowledge of program policies, procedures and information systems in order to communicate and process information.
  • Experience that includes verifying data, generating reports, summarizing and reconciling information, records management, data collection, and analysis.
  • Experience working with Electronic Vendor Portal (eVP).
  • Experience using Adobe document software, specifically the PDF file format.
  • Experience using PeopleSoft Financials.
