ROLE SUMMARY:

We are seeking a highly motivated and experienced Executive Assistant to provide advanced administrative support to four members of our Quanterix executive team, including the COO, CCO, CIO, and CTO. Reporting to the Director of Administrative Services, this hybrid role (minimum two days in-office per week) requires a professional who thrives in a fast-paced environment and can manage multiple priorities with discretion, efficiency, and attention to detail.
The ideal candidate will demonstrate excellent communication and decision-making skills, a high level of confidentiality, and the ability to interact effectively with employees, executives, board members, and external partners.


WHAT YOU'LL DO:


  • Complex Scheduling and Calendar Management: Provide dynamic and flexible scheduling and calendar support. Assist with thorough preparation for all commitments, including creating materials, meeting agendas, and itineraries.
  • Ensure schedules are aligned with key business priorities by utilizing strategic prioritization techniques and a deep understanding of company goals.
  • Prepare agendas, manage meeting logistics, take comprehensive notes, and follow up on action items to ensure efficient and productive meetings.
  • Travel Management: Oversee the planning and coordination of both domestic and international travel. This includes handling complex itineraries, managing travel documents, and ensuring all logistics are in place. Accuracy and a keen attention to detail are critical.
  • Manage travel expenses and other reimbursements in a timely manner.
  • Manage and maintain extremely confidential/sensitive matters;
  • Provide general administrative support and project management as needed;
  • Backup support for other members of EA Team.



BASIC QUALIFICATIONS:


  • High School diploma with 9+ years of experience providing executive-level support, with demonstrated experience supporting senior executives OR a Bachelor's degree with 5+ years of experience providing executive-level support, with demonstrated experience supporting senior executives
  • Experience with Microsoft Office



PREFERRED QUALIFICATIONS:


  • Bachelor's degree
  • 10+ years of experience supporting C-level executives
  • Thrive in a fast-paced, often ambiguous environment, and handle changes with a positive, proactive attitude
  • Impeccable attention to detail, ensuring flawless execution in scheduling, documentation, and travel arrangements.
  • Skilled in managing and prioritizing multiple requests simultaneously while maintaining a focus on quality and urgency.
  • Excellent verbal and written communication skills, with the ability to clearly and effectively communicate across a wide range of stakeholders both internally and externally
  • Take ownership of tasks and projects with minimal supervision, anticipating needs and create solutions that support the goals of the Office.
  • Take initiative and work well under pressure, maintain a high level of confidentiality
  • Polished and articulate with strong interpersonal skills
  • High level of proficiency with Microsoft Office
  • Experience in Life Science industry
  • Advanced MS skills
  • Ability to be on call during off hours.
