Job Summary

Coordinates the planning and implementation of administrative functions including HR and operations for Student Health & Wellness, SHW (CAPS, VEP, HPS, Clinics, Admin, Marketing and the Student Health Center [SHC]). Provides administrative assistance to upper management. Oversees and/or assists on special projects within SHW departments. May provide general guidance or direction to support staff on delegated tasks and projects.

  • Assists the Sr. Director of Finance & Operations in overseeing the process of HR functions within Student Health & Wellness. SHW Departments and units include CAPS, VEP, HPS, SHC Clinics, SCAI DOS, Admin, Marketing and Building Ops. Functions include new hires, promotions, terminations, retention, resignations, leave of absences, posting of positions, immigration, establishment of positions and reclassification actions for SHW. Maintains HR tracking sheet with Onboarding and Offboarding tasks.
  • Schedules and participates in interviews for Student Health and Wellness positions. Ensures consistent and fair hiring practices with the department based on Student Affairs and university policies and procedures/compliance with HR procedures.
  • Provides onboarding training and orientation on an SHW overview and general policies and procedures to all new staff members. Responsible for creating and sending welcome emails and announcements to all SHW employees. Works with other SHW leads to provide new employees the access that they need, ex: building and EMR.
  • Coordinates with Division of Student Affairs (DSA) HR on specialized human resources programs/functions such as recruitment, training, and employee relations. Supports pre-employment and department specific on-boarding, including licenses, liability insurance, credentialing, employment permits, etc.
  • Oversees filing system for SHW including the maintenance of emergency phone trees, clinical licensing credentials, departmental directories and any other required documents. Works with Records Management and/or Office of Compliance and Integrity on appropriate disposal of information.
  • Oversees large scale projects, information retrieval, and complex administrative matters. Collaborates across the departments, offices, and programs to analyze, plan, communicate, and execute operational and tactical improvements to drive change.
  • Develops liaison relationships with managers, department heads, and staff of assigned areas. Provides guidance and assistance related to one or more HR functions.
  • Provides administrative support to upper management including coordination and logistics for events, trainings, and meetings as needed.
  • Collaborates with the divisions Business Unit HR Liaison, Talent Acquisition and Management (TAM), and hiring managers to determine the department's effectiveness of recruitment and on-boarding practices.
  • Maintains internal organizational charts for SHW and its units for departmental use.
  • Manages access participants for Self-Insurance Program (SIP) for all clinical and licensed providers in SHW. Includes completing a Professional Liability Questionnaire, adding or removing providers during onboarding and offboarding, and reviewing entries every month to ensure accuracy.
  • Handles all matters confidentially and in accordance with the Universitys Policies and Procedures and in collaboration with the Finance & Operations Business Office and the Division's HR Liaisons. Responds to inquiries and ensures questions are answered and issues resolved promptly.
  • Serves on building emergency management team and assists in planning and implementation of needed actions for emergencies (e.g. hurricanes, building related, violent threat, health pandemics, etc.). Develops, facilitates, and maintains updated training for office staff responsible for key building evacuation tasks.
Minimum Qualifications

Bachelor's degree and three (3) years of office or related experience providing administrative support, or coordinating functions of an office or department.

Desired Qualifications

  • Knowledge of Peoplesoft.
  • Experience in student training, leadership, and development.
  • Experience with advanced features in Microsoft Office Suite and SharePoint.
