The college comprises two schools, five departments and two interdisciplinary graduate programs, as well as seven interdisciplinary areas of study and eight centers, institutes and offices.

The Opportunity:

The Meeting/Event Assistant serves as the logistical lead for annual and one-time events promoted by the College of Arts and Humanities. They develop, implement, and execute internal and public-facing events (including but not limited to the scholarship appreciation event, college alumni chapter events, receptions, virtual events, recognition events, and departmental events and meetings). Additionally, they assist with communications efforts like coordinating newsletters and listings, help orchestrate annual fund campaigns, and assist with alumni relations programs, to increase the visibility of the College of Arts and Humanities, UCF Foundation, and Alumni Relations office.

The successful candidate will understand the process of event planning, be highly organized, enjoy working a diverse schedule, and have excellent communication skills. This position is an in-person role on the UCF campus. It requires working some nights and weekends.

Responsibilities:


  • Coordinates details for a variety of events, including donor events, meetings, receptions and more.

  • Executes event logistics, including invitations, RSVPs/registrations, guest list management, food and beverage, audio/visual, room set-up details, entertainment, photography, rentals and decor.

  • Prepares and orders materials for events, including nametags, merchandise, gift bags, printed publications, decor, presentation materials.

  • Creates and disseminates event briefings, registration and attendance reporting, production schedules, timelines and other related documents.

  • Provides event follow up activities, such as thank you notes and payments.

  • Develops and distributes simple marketing materials related to events and fundraising.

  • Assists with UCF Day of Giving activities.

  • Inputs alumni and patron data into CRM system.

  • Creates and implements emails, direct mail, and social media fundraising campaigns in collaboration with the UCF Foundation.

  • Manages electronic and print content for annual fund and alumni programs. This includes curating content for monthly alumni newsletter and for alumni and foundation sections of the college website.

  • Adds and updates events into community calendars, including UCF Events, Orlando Sentinel, Orlando at Play, Orlando Weekly and more.

  • Provide day-to-day support to the marketing and foundation/alumni relations team, including other duties as assigned.


Minimum Qualifications:

High School Diploma or Equivalent and 2+ years of relevant experience or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219.Click here for more information

Preferred Qualifications:


  • Experience planning and executing professional events.

  • Degree in event management, advertising/public relations, arts administration, or related.

  • Highly organized, detail-oriented, and able to multitask.

  • Oral, written, and computer skills at a professional level.

  • Experience working with donors and/or executives.

  • Experience with Microsoft Office, Canva, and an email marketing client (such as Emma, Mailchimp, Constant Contact, etc.)

  • Experience working in a nonprofit or educational institution, UCF preferred.

  • Education in, experience working with, or affinity toward the arts or humanities.
