ABOUT THE COMPANY:
Northern Air Maintenance Services (NAMS) is an FAA certified 14 CFR Part 145 Repair Station headquartered in Anchorage, Alaska. We are the sole maintenance provider for ConocoPhillips' fleet of three DHC-8-400 (Q400) aircraft. In addition to maintenance services, NAMS handles ground operations, inventory control, and passenger screening for all flights between Anchorage, Kuparuk and Alpine. With over 70 dedicated employees, we also provide contract maintenance for two DHC-6-300/400 Twin Otters and one CASA 212-300 aircraft based in Alpine, AK.

SALARY
- The starting pay for this role begins at $25.35 with experience.
POSITION SUMMARY
The Administrative Coordinator at NAMS is a highly organized and self-directed individual responsible for the comprehensive coordination of administrative activities. This role demands close collaboration with department heads and the Customer, ensuring seamless internal processes and effective external communication. DUTIES
- Coordinates with departments to accommodate outside vendors with building access and escort requirements.
- Greet visitors and provide appropriate badges depending on access requirements along with maintaining badge logs.
- Company liaison representative with Ted Stevens Anchorage Airport Badging office, responsible for all visitor and SIDA badging processes and audits
- Perform event planning duties as needed including setting up, ordering and taking down tables and decorations for events
- Schedules meetings, answers phones, and maintains digital and physical records
- Schedules interviews for managers for any jobs that are posted
Communicates with HR department and assists in processing new hires
- Resolves administrative problems by analyzing information and identifying and communicating solutions.
- Compiles reports from the timekeeping system for NAMS Customer
- Completes expense reports for purchased supplies
- Assists department heads with expense reports when needed
- Compose professional letters and memos from notes or dictation
- Creates and edits in-house posters, newsletters, organization charts, technical drawings, forms, and SharePoint lists and power forms.
- Organize and keep track of documents and records
- Coordinates with Employee Services to manage employee hiring needs
- Coordinates in state and out of state travel needs for all departments
- Maintains company conference room calendars
- Promotes safety, efficiency and adherence to departmental and company policies and government regulations
- Notary duties for NAMS and backup for sister companies
- Serves as liaison with technical support staff, facility maintenance and contractors for office equipment and building maintenance
- Oversee building tasks such as managing broken printers, computers, breakrooms, and addressing any damage to the facility
- Corporate and personal information confidentiality is required.
- Assist with creation of and editing of technical publications as needed
- Assist the training manager with scanning of documentation as needed
- Assumes additional responsibilities and authorities as assigned by the NAMS General Manager
POSITION QUALIFICATIONS AND REQUIREMENTS
- High School Diploma or General Education Degree (GED); Associate or higher degree preferred
- Minimum of 3 years administrative experience or a combination of related experience and education.
- Proficient in computer-based environments including Microsoft Office Suite, (including SharePoint) Adobe Products, familiar with WebManuals
- Must maintain a high degree of confidentiality
- Extremely flexible due to daily changes in operational demands
- Collaborative team player with strong interpersonal skills
- Must exercise initiative and judgment with the ability to make decisions within the scope of assigned authority
LANGUAGE SKILLS
- Excellent English oral and written communication skills
- Ability to read, analyze and interpret documents such as government regulations, safety rules, operating and maintenance instructions, and procedure manuals
- Ability to write routine reports and correspondence
- Ability to effectively present information and respond to questions from top management, staff, and outside agencies
REASONING ABILITY
- Ability to define problems, collect data, establish facts, and draw valid conclusions
- Ability to interpret Customers' needs and priorities
PHYSICAL DEMANDS
- Most work requires normal physical effort.
- While performing the duties of this job, the employee is regularly required to sit and talk, see, or hear.
