Job Summary

Estrella Mountain Community College (EMCC) is hiring an Administrative Specialist to work under the EMCC's Vision and Mission statement:

This position performs a wide variety of secretarial and administrative support duties in a fast-paced environment in support of the Nursing and Allied Health division.

Essential Functions

25% - Monitors program and clinic budget; creates purchasing requisitions; contacts outside vendors; maintains department budget and course textbook requests; maintains confidential documents related to hiring and evaluations

20% - Works with Faculty Chair and faculty in coordinating administrative functions including but not limited to: building and modifying class schedules; researches and assigns rooms; prepares informational materials for faculty; archives and retrieves files; maintains and updates data and policies, manages all student and faculty files including online databases to meet regulatory requirements and for statistical reporting purposes; completes and submits mandatory forms to regulatory agencies within specified timelines; assists faculty with SIS and other databases to meet division needs; organizes division events, to include purchase and pick up of supplies/refreshments and other department needs.

15% - Coordinates scheduling and conducting Nursing Orientation, Faculty Meetings, Nursing Institute, and other Special Events, including: sending out multiple email invitations, processing copies of handbooks, mandated forms to meet regulatory requirements, and background/drug testing needs; coordinates scheduling and coordinating the Nursing Pinning Ceremony

15% - Performs front office receptionist duties for the Division; types correspondence, reports, agendas and meeting minutes; responds professionally to students, patients, visitors, faculty and others in-person, via email, or phone demonstrating a high level of customer service skills; identifies and solves problems when completing projects, activities and tasks

15% - Maintains databases for class schedules in Excel; proofreads and processes a variety of documents using Word and Excel; enters data into online management systems such as Student Information system (SIS), Human Capital Management (HCM); monitors department budget lines, generates reports and creates online purchase orders using the Financial Management System (FMS); enters data into online nursing databases, including myClinical Exchange and Certified Background

10% - Maintains student and faculty records according to state, district and HIPAA standards; performs other duties commensurate to grade level of position

Minimum Qualifications

Associate's Degree from a regionally accredited institution and two (2) years of full-time equivalent administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities.

OR

High school diploma/GED and four (4) years of full-time equivalent administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities.

An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications
  1. Associate's degree
  2. One (1) year of experience working in higher education
  3. Experience building courses in a Student Information System (SIS)
  4. Experience working with faculty and students with different backgrounds.
  5. Experience working in a healthcare environment
