Pay Rate/Range: The budgeted salary range that the University reasonably expects to pay for this position is $29.35 to $32.91/hour. Salary offers are determined based on final candidate qualifications and experience; the budget for the position; and the application of fair, equitable, and consistent pay practices at the University. The posting salary range for this position is $29.35 to $34.46/year.

Working Days and Hours: Monday-Friday 8:30-5:00pm primary schedule, Days and hours will vary including nights and weekends based on events.

Department Marketing Statement
Housing, Dining & Auxiliary Enterprises houses 10,000 students, faculty and family residents on campus, provides support services for 9,300 students residing in the communities adjacent to the campus, serves 21,000 customers daily in its retail and board dining programs, manages the UCSB Campus Store and University Center, hosts 150,000 guests annually for conferences and meetings, manages a major events center (Events Center), and oversees the administration of transportation, parking and fleet services. Brief Summary of Job Duties
The Catering Sales Manager is responsible for the catering sales and administrative management of The Club & Guest House catering services. Serves as the departmental liaison, assisting clients with planning catered events, assisting with menu selection, and arranging for rental equipment, linens and event decor. Works with The Club Scheduling on room logistics for in-house events. The organizational duties of the position pertain to processing catering orders, keeping accurate records of events, distributing catering orders in weekly BEO meetings, updating posted orders as necessary, and communicating all changes to necessary staff. Bills clients and works with the Club's Business Office ensuring all events for month-end are billed. Manages on site catered events when needed. The Financial responsibilities of this position relate to the monitoring and recording of monthly sales for budget purposes.
Required Qualifications
- High school diploma or equivalent combination of education and experience
- 1-3 years experience working in an office environment and knowledge in using Word, Excel, and Google Workspace (Sheets, Forms, etc) or equivalent combination of education and experience
- Excellent customer service skills
- Interpersonal and work leadership skills
Preferred Qualifications:
- 1-3 years catering planning or event sales experience
- Thorough knowledge in administrative procedures and processes
- Good verbal and written communication skills, active listening, critical thinking, multi-task and time management skills
- Excellent organizational skills, including the ability to manager in a high paced office environment with multiple demands

Job Functions and Percentages of Time:
45% Catering Sales and Administrative Duties
- Coordinates catered functions with clients including reviewing menu, pricing events, and booking events.
- Provides menu options for clients based on cost, clientele, seasonal availability, or current food trends.
- Shares printed event documents to the Dining Room & Catering Manager, Chef, Dining Room & Catering Supervisor, and other staff.
- Maintains and encourages good communication and working relationships with campus departments, customers, employees, and student organizations.
- Attends weekly Scheduling meetings to coordinate room requirements based on catering needs.
- Orders linens and rental equipment.
- Emails Customer Satisfaction surveys to clients, collating responses, copying results and distributing.
- Utilizes Encore Club software and Excel for all catering events.
25% Organizational Duties
- Processes catering orders using Encore Club software.
- Prints, distributes, updates orders and ensures accuracy.
- Participates in weekly BEO meetings, supplies the following week's events, reviews all events with The Club's Dining Room & Catering Manager, Chef, General Manager, Dining Room & Catering Supervisor and Culinary Staff.
- Ensures that submitted invoices are accurate and that late charges or additional changes are added. Assists in collecting unpaid invoices.
25% Catering
- Manages catering events and supervises the staff on duty.
- Ability to make quick decisions in the event of a time or location change, set-up, staffing shortage, or food shortage.
- Provides excellent customer service
5% Financial
- Makes budget recommendations on monthly and annual sales. Assists the Dining Room & Catering Manager and General Manager with preparing the annual budget based on catering forecasts.
