Job Description

Are you the type of person who loves to make someone's day just a little easier? Do you thrive on keeping things organized, solving problems, and being the go-to expert others count on? If so, this role might be your perfect fit!

We're looking for a Patient Scheduling Coordinator (level III) to be a front-line ambassador for our clinic. In this role, you'll be the first friendly voice patients hear on the phone and the first smile they see when they walk in. But you'll do more than greet patients-you'll be their guide through the registration process, a pro at scheduling appointments, and the expert who ensures financial and insurance details are squared away so care runs smoothly.

As a team leader and mentor, you'll also help coach and support other PASR staff, making sure our clinic runs like a well-oiled machine. If you love variety, leadership, and connecting with people, you'll feel right at home here.

What You'll Do

  • Be the front-line representative who warmly welcomes patients, gathers accurate demographic and financial information, and gets them set up in our system.

  • Verify insurance, eligibility, and pre-certifications while clearly explaining benefits and financial responsibilities to patients.

  • Collect co-pays, reconcile payments, and refer patients to financial resources when needed.

  • Master the art of scheduling-keeping clinic schedules 90%+ full while staying flexible for same-day needs.

  • Manage all incoming calls to the clinic with professionalism, empathy, and efficiency.

  • Lead and mentor PASR I & II staff, assist with training, and step in as a trusted resource when supervisors are unavailable.

  • Support billing processes, referrals, and documentation as needed.

  • Consistently deliver excellent customer service-meeting patients with compassion, integrity, and a smile.

What You Bring (Minimum Requirements)

  • High school diploma or equivalent

  • At least one year in patient access and scheduling representative or comparable experience

  • Direct patient contact experience

  • Knowledge of basic medical terminology

  • Strong communication skills (verbal + written)

  • Experience mentoring or training staff

  • Computer proficiency (hardware + software)
