LOCATION: Rockville, MD

JOB STATUS: Full-time

CLEARANCE: Ability to obtain Nuclear Regulatory Commission (NRC) IT-I

CERTIFICATION: N/A

TRAVEL: 10% Local

Astrion has an exciting opportunity for a Project Administrator supporting our customer in Rockville, Maryland. The project administrator will work closely with the Program Management Team (PMT) assisting with project monitoring, data gathering, coordinating on and offboarding and communicating with the team and Customers on behalf of the PMT.

REQUIRED QUALIFICATIONS / SKILLS

  • Education: High School Degree or Higher
  • Years of Experience: 2-3 Years
  • Strong analytical/critical thinking and creative problem-solving skills to quickly identify and help address project challenges
  • Strong communication skills to facilitate meetings and communicate project management direction
  • Strong interpersonal skills to interact with customers, senior level personnel, and team members
  • Strong organizational skills to prioritize work and balance complex projects to facilitate tight project deadlines
  • Ability to work independently and as part of a team
  • Ability to learn new concepts, tasks, and project related tools quickly and easily
  • Ability to accept constructive feedback and implement changes immediately
  • Ability to adapt to and function in a highly demanding and quickly shifting/evolving customer environment
  • An inquisitive and logical mind able to anticipate potential issues or areas of concern
  • High levels of attention to detail and accuracy
  • Ability to take initiative reflective of a well-developed habit of proactivity
  • High level understanding of technologies, cybersecurity, and National Institute of Standards and Technology (NIST) publications to help understand contract projects and effectively communicate statuses

RESPONSIBILITIES:

Meeting and Schedule Support
  • Schedule meetings with Customers and internal staff (kick-off, document reviews, etc.)

  • Ensure Project Manager calendars remain updated and aligned with corporate and customer meetings

  • Develop and distribute meeting agendas

  • Take, compile, and distribute meeting minutes and action items

Program and Cybersecurity Support
  • Support Computer Security Office (CSO) monthly meetings and reporting

  • Track and report on Federal Information Security Modernization Act (FISMA) and Assessor System Statement of Risk (ASSR) activities, including notifications for expiring tasks

  • Collect cybersecurity statistical data

  • Post documentation and data to SharePoint

Project Tracking and Reporting
  • Develop and monitor project schedules in Microsoft Project

  • Maintain quarterly scan planning and activities spreadsheets

  • Input project schedule data into Deliverables Report (DR) SharePoint list

  • Collect weekly percent-complete data, identify delays, and update PMT

  • Post consolidated schedule rollups to SharePoint weekly

  • Review NRC Risk Dashboard to ensure deadlines are met

  • Provide project status updates to the Customer, including schedule impacts

Onboarding Support
  • Coordinate distribution list and SharePoint access for new hires

  • Submit LAN ID requests, schedule badging appointments, and arrange GFE pickup

  • Facilitate orientation and training meetings (Contract Overview, IA, QA, etc.)

  • Submit security paperwork to COR and confirm e-App/fingerprinting notifications

  • Maintain CPSS Access Request Status Spreadsheet

  • Add new hires to recurring meetings, update contract lists, and ensure equipment tracking

Offboarding Support
  • Arrange return of GFE and badges upon termination

  • Submit account termination requests and update inactive user access spreadsheets

  • Maintain inventory and contract acknowledgment documentation
