Overview

The Administrative Assistant (Facility) supports the Facility Manager and maintenance staff by handling administrative tasks, scheduling, data entry, invoicing, and vendor/customer communication. This role requires professionalism, organization, and excellent customer service.

Responsibilities



  • Manage calls, emails, and vendor requests.
  • Maintain records using Microsoft Office and CMMS.
  • Assist with onboarding, compliance training, and background checks.
  • Order office supplies and organize files.
  • Schedule and coordinate meetings.
  • Process invoices and manage work orders.
  • Ensure office organization and cleanliness.



Qualifications



  • High School Diploma or GED (Required); Associate's Degree (Preferred).
  • 1-3 years of administrative experience (Required); Accounts Payable experience (Preferred).
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Strong communication, organizational, and multitasking skills.
  • Ability to work independently and in a team.
  • Notary License (Preferred).
