Pay:

Visterra offers competitive pay commensurate with experience in a similar position. The range for this position is $100,000 to $120,000 annually, but actual compensation will vary depending upon a new hire's experience and qualifications as well as internal equity.

Role Overview:

The Payroll Manager will be responsible for Managing a group of payroll professionals and assist with the processing of 16 separate payrolls per week while integrating new organizations into the payroll system due to ongoing acquisitions. This role ensures accuracy, compliance, and efficiency in payroll operations across multiple entities. The ideal candidate has experience handling high-volume payroll, managing transitions from acquired businesses, and ensuring compliance with federal, state, and local payroll regulations.

Key Responsibilities:

  • Manage and execute weekly payroll for multiple entities, ensuring accurate and timely payments.
  • Lead and mentor a team of 3 payroll professionals, fostering growth and development.
  • Assist in onboarding and integrating newly acquired companies into the payroll system.
  • Ensure payroll processes comply with federal, state, and local regulations.
  • Maintain payroll records, ensure data integrity, and troubleshoot system issues.
  • Respond to payroll-related inquiries and provide clear resolutions.
  • Identify and implement improvements to enhance efficiency and accuracy.
  • Work with HR, Finance, IT, HRIS, M&A and Finance teams to support seamless payroll operations and business growth.
  • Utilize ADP to manage and execute weekly payroll for multiple entities, ensuring accurate and timely payments.
  • Be responsible for creating and setting up state and local tax codes within the payroll system to ensure accurate tax withholding and compliance.
  • Payroll Tax Calculation: Accurately calculate employee and employer tax liabilities for each payroll cycle.
  • Tax Filing & Reporting:
    • Prepare and file federal, state, and local payroll tax returns (monthly, quarterly, annually).
    • Submit W-2s, 1099s, and other year-end tax documents.
    • Audit W-2's
    • Balance W-2s to payroll records - Reconcile box 1,3,5 wages withholdings to Forms 941 and internal registrations
  • Compliance Monitoring: Stay updated on changes in tax laws and ensure payroll practices reflect current regulations.
  • Reconciliation: Reconcile payroll tax deductions with general ledger accounts and resolve discrepancies.
  • Audit: Provide documentation and support during internal and external audits.

Requirements:

  • Bachelor's Degree in Accounting, Finance, Business Administration, or a related field is required.
  • 3+ years of supervisor experience.
  • 5+ years of payroll administration experience, preferably in a multi-entity, high-volume environment.
  • Proficiency in payroll software (e.g. ADP, Paycom, UKG, or similar)
  • Familiarity with integrating new businesses into an existing payroll system is highly desirable.
  • Strong ability to manage multiple payrolls accurately under tight deadlines.
  • Expert level of understanding of federal, state, and local payroll laws and tax regulations.
  • Ability to troubleshoot payroll discrepancies and system issues effectively.
