Summary
Responsible for overseeing and enhancing the administrative operations of the clinic, ensuring the efficient management of resources, staff, and processes. This leadership role involves strategic planning, operational oversight, and the implementation of policies and procedures to support the hospital's mission and goals. This role also works closely with senior management to drive organizational effectiveness and ensure high-quality administrative support.

Essential Functions
-Develop and implement strategic administrative policies and procedures to improve efficiency and effectiveness.
-Oversee daily administrative operations, ensuring seamless coordination across departments.
-Manage the administrative support functions, including scheduling, correspondence, and record-keeping.
-Supervise, mentor, and support administrative staff, including hiring, training, and performance evaluations.
-Ensure compliance with healthcare regulations, hospital policies, and accreditation standards.
-Enhance patient and visitor experience by ensuring high standards of service in all administrative functions.
-Works closely with clinical leadership and the clinical administration team to streamline processes and workflows to create efficiencies in management of the clinical programs, as well as improve the patient experience
-Works closely with the Administrative Director and the Business Analytics team to establish and monitor monthly clinical program dashboard and ensure regular collection of program data; monitor statistics to evaluate performance and facilitate strategies for improvement.
-Provides support to Administrative Director in preparing and presenting various clinical staffing models to ensure efficient care models are in place in current programs and to project accurate staffing needs as related to proposed future initiatives.
-Oversees group practice and third-party credentialing/enrollment issues.
-Works with fellow Administrative Managers and Practice -Managers to ensure adequate staffing for all clinical areas including cross-coverage, breaks vacations, and leaves of absence.
-Works closely with Clinical Leadership team to respond to patient crisis situations and emergencies in the clinic; also works with these teams on improving best practices for response to future types of situations
-Oversees non-clinical logistics of Home Base programs as it relates to travel, lodging and relationships with key stakeholders (travel company, hotel, donors)
-Manages program budget as it relates to non-clinical variable costs to find cost savings/efficiencies
-Reports to the Administrative Director; Supervises a team of approximately 5-7 FTEs to include a Practice Manager and 4-6 Administrative Coordinators or PSCs.

Education
Bachelor's Degree Healthcare Administration preferred or Bachelor's Degree Related Field of Study required or Master's Degree Related Field of Study preferred

Experience
Administrative experience in a healthcare setting 5-7 years required and Experience in a management or leadership role 3-5 years required

- Proven leadership and strategic management capabilities.
- Excellent organizational and problem-solving skills.
- Advanced proficiency in office software (e.g., Microsoft Office Suite) and electronic health records (EHR) systems.
- Exceptional communication, interpersonal, and negotiation skills.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Strong analytical skills and the ability to manage complex projects and initiatives.
