Job Summary

Coordinates and administers the day-to-day operational activities associated with Nursing Clinical Oversees compliance process of clinical partner requirements. Coordinates and reviews all student compliance requirements and screening required for student internship. Oversees quality student internship experiences. Coordinates, maintains, prepares and receives draft agreements for review and approval. Coordinates with University departments and external partners regarding clinical experience and training in conjunction within Nursing Programs.

  • Oversees, tracks, updates, and maintains the Typhon database of all preceptor information and preceptor agreements by updating the database and alerting appropriate personnel concerning status of preceptor records and alerts faculty to any issues.
  • Serves as liaison between NWCNHS nursing departments, partner facilities, and community.
  • Reviews, revises, and updates an accurate database for all clinical requirements (background check, fingerprinting, drug screening, health and immunization records, CPR, health insurance) for all nursing students (undergraduate and graduate nursing) by communication with faculty, staff, and students concerning clearance status and procedures maintaining the integrity of confidential information.
  • Ensures communication of student requirements in coordination with the department to ensure these are met. Provides clinical sites with student good standing letters. Facilitates special requests for clinical placement.
  • Analyzes, coordinates, updates and ensures that all tracking records/spreadsheets; and are handled with confidentiality. Maintains spreadsheets with all relevant student & faculty information. Updates and maintains training documents for clinical requirements.
  • Maintains checklists, folders and drives to be shared with internal team members.
  • Coordinates orientation and clearance information to clinical facilities in a timely manner and in an appropriate format by following the proper procedure and using appropriate forms. Initiates, recommends, and provides systems training to internal team members as needed.
  • Prepares and administers clinical facility/faculty evaluations and complies results for evaluation by meeting with students and collating results in a database.
  • Coordinates verification of compliance with background check for students applying for upcoming semesters. Conducts verification of student & faculty compliance in Complio. Prepares and maintains confidential files for fingerprints and VECNHS release form. Refers all positive results of confidential background checks to the respective departmental Chair and/or Director of Clinical Education.
  • Monitors and expertly track agreement milestones and adeptly manage verbal and electronic communication with faculty, staff, students, general counsel, and external partners, regarding contract status, remaining ever mindful of clinical/fieldwork requirements, timelines and cycles of programs affected. Identifies and anticipates barriers and be prepared to propose resolution.
  • Maintains hard copy and electronic records of current agreements. Be prepared to respond and produce contracts on request. Follows University policy, archive records for historical reference and retrieval. Documents current status of agreements in process, and estimated timeline for execution.
  • Develops and maintains productive, trust-based relationships with stakeholders within and outside the University, not only to effectively implement contract process, but to reflect positively on the College and the University, thereby strengthening community ties with practice partners.
  • Interacts closely with FIU's legal department, to monitor, process, and implement changes in contracts in clinical settings.
  • Oversees and analyzes operational needs of the office and develops the resolution of issues by offering professional and administrative assistance.
  • Responsible for meeting goals and objectives, such as collaborating with the HR teams to ensure that faculty and adjuncts complete the Level II background check prior to working in the clinical setting each semester.
  • Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications

  • Bachelor's degree and three (3) years of appropriate experience, or Master's degree and one (1) year of appropriate experience.
Desired Qualifications

  • Experience with Complio or similar document management and tracking system.
  • Proficient in Microsoft Office.
