Summary:

Goldbelt Professional Services, LLC., seeks an Executive Assistant III to support the Centers for Disease Control and Prevention (CDC) in Atlanta, GA. Executive Assistant III will help maintain the response of the leadership's calendar through advanced planning and scheduling, conferences, teleconferences, correspondences, and coordinating calendars. The role will be responsible for researching and preparing various meetings and presentations, obtaining meeting notes, and other public health-related tasks in a fast-paced emergency response environment. This position will occasionally be required to work evenings, weekends, and holidays as part of the response to ensure coverage for leadership and processes.


Responsibilities

Essential Job Functions:

  • Manage complex calendars, schedule meetings, and coordinate travel arrangements for executives.
  • Draft, review, and edit correspondence, reports, and presentations with a high degree of accuracy and professionalism.
  • Prepare executives for meetings by compiling and organizing materials, agendas, and briefing documents.
  • Anticipate executive needs, proactively resolving issues before they arise.
  • Serve as a liaison between executives, staff, and external stakeholders, ensuring timely and professional communication.
  • Screen and prioritize incoming communications, including emails, calls, and requests, and respond on behalf of the executive as appropriate.
  • Coordinate executive participation in internal and external meetings, conferences, and events.
  • Track and follow up on key projects, initiatives, and deliverables to ensure deadlines are met.
  • Assist with budget preparation, expense reports, and financial tracking.
  • Maintain accurate and organized files, records, and confidential information.
  • Support the planning and execution of board meetings, retreats, and special projects.
  • Assist with collecting and collating documents for reporting.
  • Act as a point of contact for relevant communications from CDC, contract staff and Senior Staff.
  • Monitor and report staff progress, including but not limited to, completed tasks, upcoming projects, challenges/concerns.
  • Facilitate meetings with CDC leadership, contract leadership, and contract staff, as requested.
  • Propose and facilitate operational changes to enhance team efficiency.
  • Create, maintain, review, and distribute time off calendar, team rosters, organizational charts and other activities.
  • Perform other tasks as deemed necessary by leadership and/or task leads.
  • Provide technical and administrative oversite for work products to meet contract requirements, timelines, and goals.
  • Provide project coordination and completion.

Qualifications

Necessary Skills and Knowledge:

  • Excellent verbal communication, critical thinking, and problem-solving skills.
  • Proficient in using Microsoft Office (Outlook, Word, Excel, and PowerPoint) and team meetings platforms such as Microsoft Teams and Zoom.
  • Provide tactical support.
  • Attention to details.
  • Ability to establish and maintain effective working relationships and good interpersonal skills.

Minimum Qualifications:

  • BS/BA in related discipline or equivalent education; 7+ years' experience in lieu of degree.
  • At least two (2) years of experience in relevant work or related area.
  • Previous experience in emergency preparedness and response.

Preferred Qualifications:

  • Master's degree in public health or related field from an accredited college or university
  • Previous experience with federal government agencies; preferably with CDC.
