About this opportunity:

The Office of Charter Schools is seeking a motivated and detail-oriented professional to assist in the coordination and administration of Ball State's charter school authorizing functions.

In this role, you'll support the Executive Director, Director, and OCS staff in managing systems and processes that help Ball State's charter schools operate with excellence and compliance. Responsibilities include maintaining efficient office operations, coordinating communications and reporting, managing data and documents, and contributing to continuous improvement efforts.

What you'll do and what you'll bring:

Position Function:

Assist the Executive Director, Director, andOCSstaff in the administration and coordination of all internal and external functions ofBSUcharter school authorizations; manage the development, implementation, and refinement of systems, policies and processes necessary to ensure the University employs operating methods to produce high-performing charter schools.

Duties & Responsibilities:

1. Receive incoming calls, appointments, and visitors; provide general information, and forward to the appropriate personnel. Receive, record, and refer formal complaints from constituents to appropriate personnel.

2. Provide technical support to charter schools andOCSstaff related to OCS's document management system, ensuring thorough and accurate processing of all required documents, setting up new user accounts and assisting in daily problem solving as needed.

3. Responsible for website updates, in coordination withOCSstaff and TC/BSUMarketing.

4. Assist in the development of a data warehouse to facilitate the charter school application submission and theOCSreview process and ensure timely posting of charter proposal and renewal documents on the website.

5. Provide scheduling support toOCSstaff; prepare scheduled correspondence as needed; process monthly invoicing and administrative fees for sponsorship of charter schools; ensure and maintain current file system; create purchase orders and order office supplies via university purchasing system; maintain inventory records; monitor expenses. Provide notice, schedule, and secure meeting facilities and other activities associated with meetings as needed.

6. Develop, maintain, and disseminate current and historical, accurate information with regard to Ball State's portfolio of Charter Schools, manage email distribution lists for key school contacts. Maintain all files of all operating charter schools for current and historical compliance and performance in accordance with state required record keeping requirements.

7. Assist theOCSstaff in recordkeeping, archiving and record retrieval of compliance documents; follow up withOCSstaff and/or school personnel to ensure that required documents are complete and accessible; maintain knowledge of current changes in Indiana charter school laws and collection date changes by the IndianaDOE.

8. Facilitate the transfer of legal documentation information between Business Affairs and the school organizer during the chartering process; support the communication process betweenOCSstaff and the school organizer for final chartering documentation.

9. Manage the production and state submission of the annual Charter School Accountability Report, ensuring accuracy and timeliness.

10. Work with the Director to interview, train, supervise, assign work responsibilities, and evaluate student workers, if applicable.

11. Coordinate allOCSprofessional staff searches; includes completing proper forms; create position description documents; preparing suggested advertisement; communicate with University Compliance and HR; includes creating/monitoring applicant files; arranging interviews; utilizing Banner to create and submit all EPAFs forOCS.

12. Perform other related duties as assigned.

13. Maintain regular and predictable attendance as required by this position.

Minimum Qualifications:

  • Associate's degree or equivalent in office administration or related field from an accredited institution.

  • Over three years through five years of legal assistant or related experience.

  • Ability to work independently, manage projects and maintain deadlines with minimal in-person supervision.

  • Effective oral and written communication, using concise communication in various formats, formal and informal writing, and remote presentations.

  • Demonstrate a commitment to, and experience with, diverse populations in meaningful collaboration.

  • Proficiency with word processing and database software.

Preferred Qualifications:

  • Associate's degree.

  • Experience supporting and coordinating office operations and Website management and document design.
