Essential Job Duties
Primary Purpose of the Position:

The primary purpose of this position is to provide high-level executive and administrative support to the Vice Provost. The role involves managing complex scheduling needs, preparing materials for meetings and events, coordinating communications, and serving as a key liaison between the Vice Provost, university leadership, and other administrative offices. The employee is expected to demonstrate sound judgment, strong organizational skills, and a thorough understanding of university policies and procedures to ensure the efficient operation of the office.
Key Responsibilities:


  • Manage and maintain the Vice Provost's complex calendar, including scheduling meetings, coordinating logistics, and anticipating scheduling conflicts.
  • Interpret and implement university policies, procedures, and guidelines as they apply to the Vice Provost's office.
  • Research, compile, and prepare background information, reports, and presentation materials to support the Vice Provost's meetings and initiatives.
  • Provide administrative support for committees and leadership meetings, including organizing logistics, preparing agendas, taking minutes, and tracking action items.
  • Draft and edit correspondence, reports, and other written communications on behalf of the Vice Provost.
  • Serve as a liaison between the Vice Provost, university leadership, and other administrative units to facilitate effective communication and collaboration.
  • Anticipate potential issues that may impact the Vice Provost or the office and proactively identify and implement solutions.
  • Assist in planning and coordinating unit events, programs, and special projects, including event logistics and communications materials.
  • Manage office operations, including purchasing, equipment and supply management, and coordination of contracts and travel authorizations.
  • Collaborate with business and HR operations teams to support budget, personnel, and reporting processes as needed.
  • Provide front desk coverage for the Office as assigned.


The Office has a policy of 3 days onsite and 2 days remote.

Minimum Experience/Education

  • Experience supporting executive-level leadership in a higher education or complex organizational setting.
  • Strong knowledge of university or large organizational policies and administrative procedures.
  • Proven ability to manage confidential information with discretion.
  • Excellent written and verbal communication skills, with attention to detail and accuracy.
  • Proficiency in Microsoft Office Suite, Google Workspace, and calendar management systems.

  • Ability to understand and apply the unit and organization mission and strategic goals, the programmatic nature, and the cultural environment.

  • Professional experience in higher education.

  • Budget experience in downloading and understanding expense reports.
