Position Title: Archives Records Specialist

Work Location: Worcester, MA (100 Research Drive, US)

Assignment Duration: 12 Months (Possible Extension)

Position Summary

The Archives Records Specialist is responsible for accurately tracking and reporting daily work progress to provide key metrics for management reporting. The role involves handling, organizing, and preparing physical records for migration and storage in compliance with records management and safety standards.

Key Responsibilities

  • Demonstrate accuracy and proficiency in all assigned activities.
  • Adhere to safety guidelines applicable to both office and warehouse environments.
  • Ensure compliance with Standard Operating Procedures (SOPs).
  • Sort and organize physical records, including:

    • Creating an inventory of records.
    • Organizing and cataloging materials.
    • Gathering metadata on Excel RMA sheets in preparation for migration into RIMS.
    • Boxing and labeling records appropriately.
    • Preparing boxes for shipment to offsite storage vendors.


  • Utilize the Records Archiving IT System (RIMS) as directed.
  • Execute all activities in accordance with established records management requirements.



Qualifications & Experience

Required:

  • Strong attention to detail, particularly in typing and organization.
  • Competency in Microsoft Excel (intermediate level).
  • Proficiency in Microsoft Word and PowerPoint.
  • Ability to lift containers weighing up to 25 pounds.
  • Clerical experience (e.g., sorting, collating, and filing).
  • Excellent verbal and written communication skills.
  • Ability to work independently and collaboratively in a team environment.


Preferred:

  • Experience in records management, archiving, or library settings.
  • Experience in a pharmaceutical or other regulated industry.
  • Familiarity with document and/or records management IT systems.
  • College coursework or degree beyond a high school diploma or GED.
