Job Summary:
A center for global excellence in undergraduate and graduate education and research, Northwestern's Department of Chemistry seeks a self-directed administrative professional to help support its mission. The Associate Director of Administration leads a team of professional staff supporting education and research operations for all Chemistry faculty, enabling excellent teaching and the smooth functioning of the labs achieving innovative research while providing a positive experience for all students and researchers.
This is a full-time position that works largely on the Evanston campus with some opportunities for remote work.
The target hiring range for this position will be between $79,000 - $105,000 per year. The salary offered will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.
Specific Responsibilities:
Leadership and Management:
- Provides leadership and guidance to, directly and/or indirectly, 14 staff members and is responsible for onboarding, training, professional development and evaluation of same to ensure sustained superior faculty support. Works closely with peers in other functional support areas to create and execute lean operations strategy and improve processes and efficiency. Promotes administrative innovation, quality customer service and respect for teamwork and open communication.
Faculty Support:
- Oversees daily administrative faculty support operations. Oversees administration of faculty recruitment including ads, candidate communication, interview and visit, FASIS paperwork and orientation. Oversees the preparation of Promotion and Tenure cases. Interprets and applies policy and procedure. Oversees all aspects of faculty administrative tasks (colloquium, seminar, travel, annual CV updates, etc.) ensuring optimal faculty support.
Human Resources:
- Serves as a primary source of staffing policy information for faculty and staff and collaborates with other department staff leadership team to ensure information is clearly conveyed to all departmental administrative staff. Maintains up-to-date knowledge of relevant College and University policies and ensures departmental administrative procedures are aligned. Manages implementation of human resource programs, policies, procedures and talent management lifecycle and related mentoring and training for faculty administrators. Oversees position posting to eRecruit, leads the recruitment and selection process for faculty administrators. Manages department administration team structure and prioritizes and distributes faculty administrator workload. Oversees Performance Excellence plan for faculty administrators and prepares annual review for direct reports. Manages performance problems, manages leaves and approves timesheets for direct reports.
Events:
- Oversees colloquium, named lecture and seminar coordination.
Miscellaneous
Performs other duties as assigned.
Minimum Qualifications:
- Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree; OR appropriate combination of education and experience.
- Minimum of 4 years of progressively responsible, adaptive management and supervisory experience. Minimum of 2 years of experience implementing human resources functions such as performance management and compliance.

- Proven ability working in a complex organization, develop streamlined and innovative process improvements and make informed decisions in the context of strategic organizational goals and policies.
- Strong analytical skills, detail-oriented and exceptional organizational and multitasking abilities
Preferred Qualifications:
- Knowledge of the academic environment and appreciation for the roles of faculty, research staff, administrative staff and students.
- Established experience of evaluating, onboarding, training, supervising and motivating employees in administration
