The Accounting Specialist - AP & Travel III completes and processes routine to moderately complex postings and transactions of information in any of the following areas: Accounts Payable/Receivable, Travel Accounting and/or General Accounting functions.Responsible for completing assigned transactions using standard policies, procedures and guidelines.

Duties and Responsibilities

  • Process documents related to accounting; ensure submitted data is comprehensive, entered within the prescribed timeframes and audited for accuracy.

  • Travel and Accounts Payable

    • Validates expense reports against traveler's receipts (general travel as well as board and relocation travel).

    • Reconciles and records purchased airline tickets for visitors purchased through travel agencies.

    • Process registration fees and hotel deposits for conferences.

    • Assists in approving Direct Purchase Authorizations for travel booked outside of travel agencies.

    • Serves as a backup for expense report approvals and determining excess allowable costs for international airfare booked in business class.

    • Verifies vendor invoices prior to payment, including checking purchase and receiving reports.

    • Processes check runs, researches check traces/stop payments and issues manual checks.

    • Assists in the processing/recording of wire transactions for all RAND companies.

    • Assists in the preparation/filing of annual 1099 reporting.

    • Prepares reconciliations of General Ledger for AP and Travel related accounts.

  • Other Accounting

    • Summarizes and post data/cash receipts to journals, ledgers, and other records.Prepares deposits for all accounts.

    • Prepares and distributes invoices, statements, billing summaries and periodic or special accounting reports including month-end closings and balances as related to RAND employees and/or RAND Pardee students.

    • Gathers financial and labor data, produces and audits reports to identify trending/training needs.Develops and monitors reporting mechanisms.

    • Assists in development and distribution of reports for internal and external use.

    • Supports audits as necessary.

Education

  • High School Diploma or GED required.

  • Associate's degree preferred.

Required Experience, Knowledge and Skills

  • 3+ years of experience required.

  • Thorough knowledge of PC usage, Intermediate Excel, Workday/Concur experience.

  • Good written, oral, and interpersonal skills.

  • Excellent 10-key skills.

  • Thorough knowledge of accounting principles, basic knowledge of accounting theories.

  • Understanding FAR requirements.

Location

  • Santa Monica, CA

  • This position is 100% onsite.

Salary:$52,300-$75,800
