Job Description

Work location is at UMKC School of Pharmacy at Mizzou, Columbia MO

Position Overview

The Office Support Associate plays a critical role in supporting the School of Pharmacy's academic and administrative operations. This position requires exceptional attention to detail, strong organizational skills, and the ability to maintain confidentiality in all activities. The individual will mentor and guide faculty and staff, manage multiple projects simultaneously, and serve as a resourceful, independent problem-solver.

As a front-facing representative of the School, the Office Support Associate must communicate professionally with students, faculty, staff, and visitors. This role also involves collaboration across three campus sites and interaction with external partners to ensure smooth operations.

Key Responsibilities

  • Interact daily with pharmacy students, faculty, and staff
  • Manage curricular support systems (e.g., ExamSoft, Canvas), monitor trends in student performance, and synthesize feedback for leadership reports, faculty portfolios, IPE events, and ACPE Self-Study documentation.
  • Support course coordinators in managing administrative coursework tasks for both the Division of Pharmacy Practice and the Division of Pharmacology and Pharmaceutical Sciences.
  • Manage the Classroom Assistant schedule to ensure appropriate classroom coverage each semester.
  • Facilitate in classroom as needed, provide backup to Classroom Assistant(s) in case of absence. Become familiar with classroom equipment and operating procedures.
  • Provide mentoring and guidance to faculty and staff across all sites.
  • Research, organize, and compile documents/contracts for divisional needs (e.g., MBOs, MOUs, contracts, appearance agreements).
  • Offer administrative support to the Associate Dean as requested.
  • Actively participate in School of Pharmacy committees and contribute to divisional initiatives.
  • Maintain student and patient records in compliance with policies and procedures.
  • Prepare accurate, summarized reports for curricular and administrative purposes.
  • Maintain proficiency in all relevant software platforms and stay current with updates.
  • Demonstrate adaptability and openness to ongoing training and learning.
  • Occasional travel required to participate in School and Divisional events.
Shift

8:30am - 5:00pm, Monday- Friday

Minimum Qualifications

  • Bachelor's degree or an equivalent combination of education and experience and at least three (3) years of experience from which comparable knowledge and skills can be acquired is necessary
Preferred Qualifications

  • Five (5) years of experience in administrative or academic support roles.
  • Strong organizational, communication, and problem-solving skills.
  • Ability to manage multiple projects and deadlines independently.
  • Proficiency in Microsoft Office software and willingness to learn new platforms.
  • Commitment to confidentiality and professional conduct.
Anticipated Hiring Range

Up to $21.24 per hour, commensurate with education, experience, and internal equity
