| Position Highlights |
The Department of Pediatrics is seeking a part time Administrative Assistant to join their Business Office Team. This position will assist with general administrative functions for the department and will also support the Development Team.
The position's primary duties and responsibilities will include communicating with various stakeholders, preparing documents and reports, organizing and maintaining records, coordinating calendars, scheduling meetings and assisting with events. |
| Duties & Responsibilities |
- Receive and respond to routine and non-routine emails, as appropriate. For the Development Team, this may include general inquiries, thank you letters and outreach efforts.
- Implement record-keeping processes, structures, and databases. Ensure departmental files and databases are updated.
- Develop and maintain a research database to assist with outreach and connecting with philanthropic funding opportunities.
- Keep accurate records on gifts from initial acknowledgment. Track inventory of toys and other in-kind items from donors.
- Provide support with Campus/Department/Laboratory tours, events and resident's reunion, as needed.
- Provide administrative support through preparation of agendas and presentation materials.
- Support various on-going and one-time projects: archival, digitization and updates.
- Ensure up-to-date knowledge of Departmental and University policies and procedures.

| Minimum Qualifications |
- High school diploma or high school diploma equivalency is required.
- Minimum of three (3) years of relevant experience, or equivalent combination of education and work experience.

In compliance with the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act (Clery Act), each year the University of Arizona releases an Annual Security Report (ASR) for each of the University's campuses.Thesereports disclose information including Clery crime statistics for the previous three calendar years and policies, procedures, and programs the University uses to keep students and employees safe, including how to report crimes or other emergencies and resources for crime victims. As a campus with residential housing facilities, the Main Campus ASR also includes a combined Annual Fire Safety report with information on fire statistics and fire safety systems, policies, and procedures.
