Job Description

To serve as the primary contact for all assigned groups during pre-convention planning to on-site, to include all meeting requirements, rooming lists, VIP amenities, billing requirements, arrival and departure patterns, and transportation. This position specializes in the area of finalizing meeting details and servicing those convention accounts that have been assigned to them. This is a Convention Services Manager role with a concentration on ICWs and is eligible for the Omni Sales Incentive Plan.



Responsibilities

    Organize convention files for servicing.
  • Know the pricing and inventory of the sleeping accommodations and suites.
  • Has thorough knowledge of hotel facility, meeting room capacities and equipment inventory so that accounts may properly be serviced.
  • Attend regular departmental and hotel meetings.
  • Assist in maintaining the cleanliness of all meeting rooms.
  • Work on special projects when assigned.
  • Work with other Convention Service Managers to manage and assign administrative assistant tasks.
  • Maintain warm hospitable guest relations.
  • On-site service of all assigned groups to include:
    • Monitoring banquet set-up to ensure compliance of standards.
    • Keep group files updated with important reference material (resumes, diagrams, group recap, outlet usage, pick-up, etc) for future planning purposes.
    • Meet each client at the beginning of each function and serve as their primary on-site contact to make sure all needs are being met and/or direct changes or facilitate additional requests through the proper departments.
    • Welcome group when checking-in, respond to their requests and coordinate guestroom requests with Group Room Coordinators.
    • Responsible for managing groups to the terms of their contracts to include attrition, cut-off dates, program due dates, food and beverage minimums, contracted concessions, etc.
    • Confirm meeting programs and communicates convention details effectively between the client and hotel departments by using convention resume, staff planner, and banquet event orders.
    • Monitor group room pick-up and make recommendations regarding room block changes based upon group history and knowledge of group (attendee profile, registration numbers, etc).
    • Follow up with various hotel departments to ensure their understanding of groups' needs and the department's role.
    • Schedule and facilitate pre- and post-con meetings.
    • Check function space in Delphi to ensure accuracy compared to contract and group program.
    • Check Epitome to ensure that VIP and suite arrangements are accurate.
    • Work closely with Convention Services Floor Coordinator to ensure all needs of the client are being met in a timely fashion.
    • At conclusion of conference, review final bill with meeting planners and accounting.
    • Project sense of urgency for all group requests.
  • Accessible to client and other hotel departments through use of hotel issued cell phone.
  • Conduct hotel site inspections when necessary.
  • Entertain clients to establish closer working relations when appropriate.
  • Recommend special outside vendors/services when required.
  • Schedule and facilitate internal "tie-down" meetings prior to conferences when necessary.
  • Perform other duties as assigned by Director of Convention Services or Assistant Director of Convention Services.
  • Ensure work area is clean and clear of standing water, debris or any objects that can obstruct the job duties from being performed safely, efficiently and effectively.
  • Maintain professional appearance and grooming in accordance to Omni's standards.


Qualifications

Education

Must have Associate's degree or higher and or a minimum of 2-4 years Convention Services management experience in a 4- diamond hotel.

Language Skills:

Ability to read, analyze and interpret general business periodicals. Ability to effectively communicate both verbally and written. Ability to present information and respond to questions or requests from groups of managers, clients, guests, co-workers and associates

Mathematical Skills:

Ability to add, subtracts, multiply and divide in all units of measure using whole numbers, common fractions and decimals.

Physical Demands:

The physical demands described below are representative of those that must be met by an employee to successfully perform the essential duties of this job.

While performing this job, the employee is regularly required to stand, walk, sit, speak, hear, reach, bend over, stoop, use hands, use fingers, write, see, feel objects, handle paper, wires, pens, boxes, and occasionally kneel. Occasional lifting or moving may be required of objects up to 20 pounds.

Work Environment:

The environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.

The noise level in the work environment is usually moderate to loud. The temperature can fluctuate from cold to hot. As many as five persons could be working alongside with you.

Other Skills and Abilities:

  • Able to operate telephone, computer stations, plug and unplug various power cords, familiar with basic computer interface systems. Must be able to work a flexible schedule and holidays.
  • Able to maintain organizational image by demonstrating high quality guest service at all times to both internal and external customers.
  • Able to collect accurate information and resolve conflicts.
  • Able to manage multiple tasks at all times and have excellent organizational skills
  • Must be able to stand up for 4 or more hours at a time
  • Able to remain calm and alert, during emergency situations and/or heavy hotel activity.
  • Must be able to work independently.

Tools and Equipment:

  • Tables and chairs when assisting room set-ups.
  • Hotel issued radio and/or cell phone.
  • Computer and printer, typewriter, telephone, pen/pencil, photo-copying machine, file folders, filing cabinet, facsimile machine.
