DESCRIPTION

The Moores Cancer Center (MCC) is one of just 57 NCI-designated Comprehensive Cancer Centers in the United States and the only one in San Diego County. As a consortium cancer center, it is a collaborative partnership between the UCSD: encompassing 28 departments, 6 schools (School of Medicine, Skaggs School of Pharmacy and Pharmaceutical Sciences, School of Public Health, Jacobs School of Engineering, School of Biological Sciences & the School of Physical Sciences), UCSD Health oncology hospitals and clinics; the basic and public health research and outreach of San Diego State University (SDSU), and the basic and translational research of the La Jolla Institute of Immunology (LJI). The Events Specialist will assist coordinating aspects of Moores Cancer Center event planning and management, including internal and external events, and provides administration support related to the events. Works under the direction of the Moores Cancer Center events manager to provide dedicated support in planning and organizing events and functions for the Moores Cancer center which may include symposiums, conferences, workshops, research program events, advisory board meetings, and VIP events.

The Event Specialist will assist in ensuring that event spaces are set up per specifications, including helping with the planning, coordination and structure to the events. Will be on-site for events to assist that MCC needs are met as needed. Under direction, will work with facilities, caterers, media services, and transportation for each event or activity. The Event Specialist will maintain, manage, track and report event data (attendance, costs, satisfaction). The Event Specialist may at times, assist the Director of Education and the Associate Director of Administration on special projects related to the Moores Cancer Center events. Coordinate AV needs for meetings and events, including cameras, microphones, speakers, projectors as well as Zoom support.

MINIMUM QUALIFICATIONS
  • Four years of related experience, education/training, OR a Bachelor's degree in related area.

  • Basic experience in successfully planning, designing, marketing, and organizing professional events, including negotiating for venues and services. Experience setting up and cleaning up events.

  • Flexible schedule to be available for day, night and weekend events.

  • Good organizational skills to effectively manage calendars and schedules for events, as well as student and / or volunteer scheduling.

  • With guidance, assist in the coordination of logistical aspects of large and small scale events, including knowledge of budget development principles and skills as they apply to events.

  • Customer service skills. Ability to provide customer service to clients, customers, and/or coworkers.

  • Experience using database programs such as Excel, to create databases, complete data entry, and keep track of information.

  • Knowledge of concepts and principles of effective event planning and production and public relations.

  • Basic knowledge of the campus, its mission, vision, goals, objectives, achievements and infrastructure.

  • Organizational skills to effectively coordinate and track multiple details.

  • Written and interpersonal communications skills, including tact and political acumen, and skill in effectively representing the campus to its publics. Excellent written and verbal skills to effectively support team priorities.

  • Ability to complete simple tasks with established deadlines; attention to detail.

  • With training, ability to use computers and computer software appropriate to work tasks.

  • Must have access to transportation to pick up supplies and attend events at UCSD as well as other locations in San Diego.

PREFERRED QUALIFICATIONS
  • Expertise using Canva, Adobe Creative Suites, or other design programs.

  • Experience working with vendors to secure goods and services.

  • Experience with coordinating AV needs for meetings and events, including cameras, microphones, speakers, projectors as well as Zoom support.

SPECIAL CONDITIONS
  • Employment is subject to a criminal background check.

  • Events occur during the day, in the evening, and on weekends. Flexible schedule and availability to staff these events is required.

  • Must have access to reliable transportation to meet occasional operational needs, such as to pick up supplies and attend events at UCSD as well as other locations in San Diego.

Pay Transparency Act

Annual Full Pay Range: $55,400 - $93,800 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $26.53 - $44.92

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
