Job Description

POSITION SUMMARY:

The Executive Assistant entails meticulous coordination of meeting schedules and travel arrangements for multiple managers within the organization. Proficiency in Microsoft Office is essential for crafting professional business presentations. Additionally, this role involves providing executive support across various projects, requiring exceptional organizational skills and attention to detail.

PRIMARY DUTIES AND RESPONSIBILITIES:

  • Calendar & Travel Management: Expertly manage complex executive calendars, coordinate domestic and international travel, and optimize daily schedules to maximize productivity.
  • Meeting & Presentation Support: Assist in the preparation of executive-level presentations and meetings, ensuring materials are accurate, timely, and aligned with strategic goals. Manage all related meeting logistics.
  • Budget & Expense Oversight: Maintain departmental budgets, manage purchase orders, requisitions, and invoices, and reconcile procurement cards and expense reports with precision.
  • Visitor Engagement: Welcome and assist visitors, manage badge and pass issuance, book conference rooms, and uphold visitor protocols.
  • Order and set up lunches and other refreshments for meetings as needed.
  • Ordering supplies for multiple departments necessitates efficient inventory management and coordination with vendors to maintain adequate stock levels.
  • Assist other departments with special projects as needed.
  • Providing backup support for other AAs/EAs in the department.
  • Performs other related work as required.

REQUIRED SKILLS:

  • Excellent written and verbal communication skills and a strong sense of professionalism
  • Proven ability to efficiently coordinate multiple managers' schedules and tasks.
  • Flexibility to adapt to changing priorities and demands in a dynamic work environment.
  • Resourcefulness in problem-solving and finding innovative solutions to challenges.
  • Proficiency in basic computer skills, including Microsoft Word, Excel, PowerPoint, Outlook, Visio and other relevant software applications.

EDUCATION:

  • High school diploma or equivalent.

EXPERIENCE:

  • 5+ years of relevant work experience in administrative roles, preferably supporting executive personnel.
