With over 160 programs in over 50 countries, the Rutgers Global-Study Abroad Office directly enrolls approximately 1,000 students and has a total budget of over $8 million. Operating much like an undergraduate college of the University, the office is responsible for recruitment, admission, retention, academic support, teaching, assessment, and the functions of offices of student life, housing, counseling, and recreation.

Rutgers, The State University of New Jersey is seeking an Administrative Assistant for the Study Abroad Office.
Among the key duties of the position are the following:

  • Serves as the first point of contact for students, faculty, and guests within the Rutgers Global-Study Abroad Office and provides administrative support and assistance to overall flow and process of the office.
  • Serves as the first point of contact for students, families, and partner offices, welcoming visitors in person, by phone, and via email while fostering a supportive environment from initial interest through re-entry.
  • Manages the primary study abroad email account and front reception, providing accurate and courteous responses to inquiries about policies, procedures, and program requirements.
  • Supports the study abroad application process, including maintaining course pre-approvals, processing transcripts with academic units and the Registrar, and scheduling advising appointments.
  • Participates in outreach campaigns (email, text, and calling) to follow-up with students on application requirements.
  • Prepares travel documents (visa, health insurance, acceptance letters), monitor pre-departure requirements, and coordinate post-program evaluations.
  • Provides administrative support to advising and leadership teams, including office operations such as supply ordering, facilities coordination, and calendar management.
  • Hires, trains, and supervises student employees to support office operations, special projects, and event staffing.
  • Represents Rutgers Global-Study Abroad at key events, promoting study abroad opportunities and cultivating university partnerships.
  • Performs other duties as assigned to advance the mission and operations of the office.

Minimum Education and Experience
  • Bachelor's degree in a related field, or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of the administrative field and student communication techniques.

  • Attention to detail and problem-solving skills.

Preferred Qualifications

  • Experience living or studying abroad preferred.
  • Ability to speak a second language, in addition to English.
