Professional Summary The Customer Care Coordinator is a contract role supporting highvolume rehabilitation and durable medical equipment (DME) order processing during a sixmonth coverage period. Serving as the primary point of contact for rehab orders, this position coordinates between patients, providers, insurance carriers, and internal technical teams to ensure timely and accurate fulfillment of mobility equipment needs. The role requires strong multitasking abilities, resilience when managing complex or emotionally charged client interactions, and the ability to balance frequent inbound calls with detailed administrative work. This position is a critical partner to the Assistive Technology Professional (ATP) team, helping maintain efficient workflows and high service standards in a fastpaced environment.
Key Responsibilities * Serve as the primary point of contact for rehabilitation and mobility equipment orders, ensuring orders are processed accurately and efficiently * Manage a high volume of inbound calls (approximately 30-50 per day) from patients, therapists, payers, and internal staff while completing required administrative tasks * Process new order intakes, upload order documentation, and ensure required files are available for ATP review * Request, collect, review, and track required documentation, including Functional Mobility Evaluations (FME) and Letters of Medical Necessity (LMN) * Coordinate communication between patients, insurance providers, physicians, ATPs, and repair technicians to support smooth order progression * Verify insurance approvals, explain coverage and copay responsibilities, and direct patients to billing or other departments as needed * Schedule equipment maintenance, repairs, and followup services in coordination with technical teams * Research rehabilitation and mobility equipment using vendor websites to support accurate order processing * Respond to inquiries from physician and therapist offices regarding processes, documentation requirements, and order status * Maintain and update provider, therapist, and referral information within internal systems Qualifications * High School Diploma or GED required; Associate's degree preferred * Minimum of three years of experience in a fastpaced office or customer service environment * Proven ability to manage high call volumes while balancing multiple administrative priorities * Strong multitasking, organization, and timemanagement skills * Ability to remain professional and composed when handling difficult or emotionally charged client interactions * Proficiency in Microsoft Office Suite, including Outlook * Strong written and verbal communication skills with attention to detail and accuracy * Ability to assess situations quickly and make sound decisions in a dynamic environment * Comfortable using technology and multiple systems to improve efficiency and effectiveness * Demonstrated reliability, consistent attendance, and punctuality * Receptive to feedback and able to follow detailed instructions *Job Type & Location* This is a Contract to Hire position based out of Tualatin, OR. *Pay and Benefits*The pay range for this position is $19.83 - $25.77/hr.
