Front Office and LEAD Coordinator

Position Overview
This position is responsible for coordination of front office services, particularly as they relate to staffing and oversight of student assistant positions and has shared responsibility for coordination of the KU LEAD program - a partnership program between the College of Liberal Arts and Sciences and the KU Law school to provide qualified students early admission to KU Law.

This position serves as a key resource for front office questions relating to deadlines, policies, upcoming issues, and various other matters, and is often called upon to handle sensitive and sometimes volatile situations with diplomacy. In addition, this role involves reviewing applications for student grading options and oversight of detailed recordkeeping. The person in this role answers departmental emails, responds to phone messages, and covers phone, walk-in, and email services in the front office, exercising independent judgment as to whether the issue can be resolved immediately or whether it should be a referral. They collaborate with the Student Support Coordinator, providing back-up when needed, to ensure that these critical duties are always covered. They also work closely with KU CLAS Recruitment and KU Law School to ensure all aspects of the LEAD program experience are of high quality for all participating students. Their LEAD responsibilities include meeting with current students and families, planning related events, assisting KU Law and CLAS Recruitment with admission review and communication, and organizing LSAT prep courses. They are specifically responsible for applications submitted by current students in the College and managing the webpage for the LEAD program.

Job Description
55% Front Office Operations and Reception: Phone, Email and Walk-in
Office Operations
  • Supervise two student assistant positions for facilitation of office duties, create student schedules to maintain front office coverage, and resolve issues as necessary.
  • Create and maintain weekly coverage front office schedule.
  • Serve as front office reception, assist students, faculty, staff, and others with high volume of detailed, complex questions, providing information about various procedures, policies, regulations, and petition processes and results. Knowledge of College of Liberal Arts & Sciences policies and procedures, other KU school policies, and University policies and procedures is essential. Must have knowledge and understanding of some state and federal regulations such as FERPA. Determines when it is appropriate to respond to the issue directly and when a referral should be made to another staff member, a faculty member, or another office.
Reviews/Recordkeeping
  • Program/Plan changes: Process online requests for Change of School and Change of Major/Minor/Certificates.
  • Credit/No Credit Process and Reporting: Coordinate the Credit No Credit Process each semester and reviews submissions to ensure compliance with university policy and timely processing of completed forms.
  • Scanning Process: Coordinate scanning practices to convert paper documents to electronic documents. Monitor the process and ensure documents are scanned and filed in appropriate electronic folders in Perceptive Content.
40% - LEAD program coordination
Coordinate the College and KU Law's 3+3 Legal Education Accelerated Degree program in conjunction with KU Law School and CLAS Recruitment and Outreach.
  • Programming/events
    • Plan and execute or coordinate events for current LEAD students. related to the program each semester in conjunction with KU Law LEAD Administrators.
    • Schedule, organize, and advertise semesterly LSAT prep class in conjunction with LSAT course external providers.
  • Program administration
    • Provide admission support and serve as program resource for students in the LEAD program, assist with recruiting when needed.
    • In partnership with the CLAS Communications & Marketing and Recruitment & Outreach teams, review program recruitment materials each year for needed changes/improvements.
    • Upon determination of qualified candidates by CLAS Recruitment and KU Law, facilitate matriculation process via LEAD program student groups and introduce the program when students attend orientation.
    • Maintain all student records for students active in the program by:
      • Tracking student compliance with program requirements regularly and communicate status to students in program and determine program completion intention.
      • Reviewing student program progress and collaborating with KU Law for admission to KU law school
  • Student support
    • Attend local recruitment events when requested by CLAS Recruitment & Outreach.
    • Meet with current LEAD program students to meet with for questions, concerns, and support regarding LEAD program, KU Law, and LSAT preparation.
    • Communicate with students for program expectations and reminders and assist with application process to KU Law.
    • Maintain online Canvas course.
5% Other duties as assigned by Student Support Coordinator and/or the Assistant Dean
Current assigned duties include but are not limited to:
  • Providing support for Student Support Coordinator.
  • Ceremony planning support.

Required Qualifications
  1. Bachelor's degree with 3 years relevant experience or Master's degree.
  2. One year experience in general office, clerical and/or administrative support.
  3. One year experience with Microsoft Office.

The level of degree is commonly recognized as the standard qualification for similar roles in the public and private sector, ensuring that the university remains competitive with industry aligned practices, enhances collaboration with external partners, and supports the delivery of services and programs that meet professional and market-driven expectations.

Preferred Qualifications
  1. Two years' experience in general office, clerical and/or administrative support.
  2. Excellent organizational, time management, and written communication skills as evidenced by application materials and work history.
  3. Editing and proofreading ability, and strong word processing skills.
  4. Experience with computer software including Microsoft Windows programs (Access, Excel, Outlook).
  5. Knowledge of KU and College of Liberal Arts and Sciences policies and procedures.
