Position Highlights

Provides foundational support for the medical school admissions process by assisting with application processing, applicant communications, and administrative coordination. Supports day-to-day admissions operations, including data entry, document management, and interview logistics coordination. Works under general supervision to ensure the timely and accurate processing of applicant materials and contributes to the efficient operation of the admissions office.

Duties & Responsibilities

Application Processing and interview facilitations:

  • Supports the processing of applications by entering and maintaining applicant data within admissions systems.
  • Assists with tracking application status and ensuring completeness of applicant files.
  • Reviews application materials for accuracy and completeness based on established guidelines and escalates issues as needed.
  • Maintains organized electronic records and supports document management processes.

Applicant Communication and Pr-requisite Checks:

  • Responds to applicant inquiries via email, phone, and in-person interactions, providing information about the admissions process, requirements, and timelines.
  • Assists in sending routine applicant communications, including application status updates and general notifications.
  • Completes prerequisite checks for all applicants invited to interview and tracks and communicates with applicants to ensure completion prior to matriculation.
  • Provides customer service to prospective students and visitors to the admissions office.

Interview and Admissions Process Support:

  • Assists with coordination of interview logistics, including scheduling support, preparing materials, and communicating with applicants and evaluators.
  • Supports Multiple Mini Interview (MMI) operations by assisting with evaluator coordination and logistical preparation.
  • Provides administrative support for admissions-related activities and processes.

Administrative and Admissions Operations Support:

  • Screens applications and video interviews, and performs general administrative tasks to support admissions office operations, including managing shared inboxes, answering phone lines, and assisting with office organization.
  • Supports coordination of meetings and events by assisting with scheduling, materials preparation, and logistics.

Recruitment and Event Support:

  • Provides logistical support for recruitment and outreach events such as applicant workshops, information sessions, and Second Look programming.
  • Assists with event setup, materials preparation, and coordination of supplies.
  • Supports outreach efforts by ensuring materials and resources are prepared and available.

Knowledge, Skills & Abilities:

  • Basic knowledge of higher education admissions processes.
  • Ability to follow established procedures and guidelines.
  • Strong organizational and time management skills.
  • Attention to detail and accuracy in data entry and record keeping.
  • Strong customer service and communication skills.
  • Ability to manage multiple tasks and deadlines.
  • Basic proficiency with office software and database systems.
  • Ability to work collaboratively within a team environment.

Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through experience required.
  • 1 year of relevant work experience required.
Preferred Qualifications

  • Bachelor's degree in higher education administration, business administration, public administration, or a related field, or equivalent combination of education and experience.
  • Minimum of 1-3 years of related experience in admissions, customer service, administrative support, or student services.
