Description

The Supervisor, Data Ingestion oversees the daily operations, workflows, and performance of the Portal Administrator team. This role ensures efficient management of vendor portal credentials, data acquisition processes, and compliance with client contractual requirements. The Supervisor provides guidance, escalated support, and process oversight to maintain data integrity, streamline portal access functions, and support continuous improvements within the Data Management department. The Supervisor also collaborates cross-functionally to resolve complex issues, lead initiatives, and support the successful onboarding and maintenance of vendor portal integrations.

PRINCIPAL RESPONSIBILITIES AND DUTIES:



  • Supervises and supports the Portal Administrator team members in the management of vendor portal credentials, vendor profile creation, Letters of Acceptance (LOA) handling, and invoice retrieval processes.
  • Oversees daily workflow allocation, ticket management, and Service Level Agreement (SLA) compliance within the Credential Management and Automated Document Retrieval (ADR) Zendesk groups.
  • Provides escalated issue support, ensuring timely and accurate resolution of complex portal access, Raw Data Downloads (RDD), Electronic Data Interface (EDI), and data retrieval challenges.
  • Ensures accuracy, consistency, and proper maintenance of vendor portal attributes and contact information within the Vendor Management system.
  • Coordinates with Implementation, Client Services, and other internal teams to support new vendor setups, portal transitions, and process readiness for new client onboarding.
  • Leads and supports process improvement initiatives, documenting procedures, identifying inefficiencies, and driving standardization across Data Management operations.
  • Monitors and reports on team performance, identifying training needs, skill gaps, and opportunities for efficiency, automation or workflow optimization.
  • Ensures compliance with client contractual agreements, internal quality standards, and established timeframes.
  • Provides day-to-day oversight of the team, develops appropriate metrics to assess performance, ensures job procedures are documented and followed, and provides continuous feedback to evaluate and address performance and development needs.
  • Develops and delivers training for new and existing team members, fosters a culture of accuracy, accountability, and continuous development.
  • Collaborates with leadership on strategic planning, project prioritization, and departmental enhancement initiatives.
  • Performs other duties as needed or assigned.


SKILLS AND ABILITIES REQUIRED:



  • Strong leadership skills with the ability to motivate, coach, and develop team members.
  • Exceptional organizational and timemanagement abilities with demonstrated experience managing multiple concurrent priorities.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Advanced problemsolving and decisionmaking capabilities with a focus on rootcause identification and sustainable solutions.
  • Ability to analyze data, identify trends, and recommend process improvements.
  • Proficiency in Microsoft Office products, especially Excel.
  • Experience with ticketing or workflow systems such as Zendesk preferred.
  • Strong attention to detail and commitment to maintaining highquality data standards.


MINIMUM LEVEL OF PREPARATION AND TRAINING NORMALLY REQUIRED:



  • High school diploma or equivalent required; associate or bachelor's degree preferred.
  • 3-5 years of related experience in data management, data ingestion, vendor portal administration, or billing retrieval workflows strongly preferred.
  • Prior supervisory or teamlead experience preferred.
