The Administrative Specialist will provide essential administrative support to the MTF staff of PMS 525, a U.S. Navy program that delivers ongoing training to international military students. This position plays a vital role in ensuring efficient day-to-day operations, supporting staff, maintaining records, and assisting international students with required documentation and logistics. The ideal candidate is a highly organized, self-motivated individual capable of working independently in a dynamic and fast-paced environment, with excellent communication and multitasking skills.
  • Prepare, organize, and maintain administrative files and records as directed
  • Manage and update the office filing system and database daily
  • Assist international students in preparing documentation for passports, VISAs, military identification cards, and driver's license renewals
  • Monitor and maintain inventory of office supplies and ensure logistical needs are met
  • Support the preparation and submission of monthly reports
  • Prepare and package materials for shipment as required
  • Coordinate with MTF staff, PMS 525 team members, and external stakeholders as needed
  • Perform other administrative or clerical duties as assigned

Basic Qualifications:
  • 5 years of administrative, clerical, or operations support experience
  • Prior military service (Active Duty or Reserve) in an administrative or personnel support role strongly preferred
  • Demonstrate advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, etc.)
  • Experience with Microsoft Outlook or similar business email platforms
  • Demonstrated ability to perform general office support tasks and clerical duties
  • Strong organizational skills with attention to detail
  • Ability to manage multiple priorities in a high-tempo environment
  • Excellent verbal and written communication skills
  • Self-starter with strong interpersonal and time-management skills
  • Comfortable using standard office equipment (e.g., copier, scanner, printer)
  • Must be a U.S. citizen and eligible to obtain a Secret Clearance

Preferred Qualifications:
  • Prior experience supporting military or government programs
  • Experience working with international personnel or in a multicultural environment
  • Familiarity with government documentation processes (passports, VISAs, DoD IDs)
  • Ability to manage sensitive or classified information with discretion
