Program Coordinator III - Psychiatry

Summary

Work independently under the administrative direction of the Program Manager to coordinate the day-to-day administrative activities of the Wisconsin Psychiatry Extension (WISCOPE), a statewide adult psychiatric access program. Provide support to the team to facilitate the achievement of the program's goals.

Primary Responsibilities
  • Coordinate and manage outreach efforts to increase awareness for WISCOPE's services across Wisconsin including travel to health care clinics, conferences, and meetings.

  • Utilize REDCap database for tracking program level data, pulling reports, and analyzing outcomes.

  • Collaborate on the development of program materials including educational materials, marketing materials, social media posts, newsletters, websites, forms, and reports.

  • Work with program leaders to develop, implement, and maintain comprehensive databases and files related to the program.

  • Maintain project timelines including tracking deadlines for outreach and educational activities.

  • Assist in training of program staff.

  • Organize internal and external meetings, site visits, and special events. Coordinate training for health care providers and professionals across the State either in-person or via virtual meeting platform.

  • Provide input on program design as an active implementation team member.

  • Participate on appropriate internal and external committees relevant to the advancement of the program and the profession.

  • Acting as a liaison during statewide professional conferences, community organizations, and within the national networks of psychiatry access programs.

  • Provide back up coverage for triage via phone and email.

  • Assist Program Manager with managing aspects of the program budget.

  • Other duties as assigned.

Knowledge - Skills - Abilities
  • Demonstrated ability to build relationships with clinic leadership, physicians, and healthcare staff.

  • Strong written and verbal communication skills, including professional email correspondence and presentation development.

  • Familiarity with healthcare operations, patient programs, or care coordination initiatives preferred.

  • Ability to work independently while collaborating with cross-functional teams.

Qualifications

Appropriate experience may be substituted for education on an equivalent basis.

Minimum Required Education: Bachelor's degree

Minimum Required Experience: 5 years

Preferred Experience: Healthcare outreach, provider relations, clinic engagement, or community partnerships, including coordinating or implementing programs with multiple external stakeholders, healthcare organizations, or provider networks; familiarity with psychiatric access programs, healthcare settings, and database systems such as REDCap.

Physical Requirements

Work requires occasionally lifting moderate weight materials, standing, or walking continuously.

Work Environment

Occasional exposure to dust, noise, temperature changes, or contact with water or other liquids. Work is performed in an environmentally controlled environment.

Sensory Acuity

Ability to detect and translate speech or other communication required. May occasionally require the ability to distinguish colors and perceive relative distances between objects.
