Clerical/Administrative employees perform and/or provide guidance to one or more general and specialized clerical. and administrative services essential to the operation of all University departments; and perform other related duties as required.

Incumbents may participate in budget, grant, or contract preparation; administer and control departmental expenditures; maintain departmental personnel records and provide departmental personnel services; prepare reports and maintain pertinent files and other required records; provide non-laboratory business services such as purchasing, inventory and stores, facilities and space utilization; and provide general clerical as well as secretarial assistance to departmental staff.

This level is characterized by responsibility for an end product of work and by independent application of knowledge of standard office methods and procedures. Assignments entail some phases of a program or service involving performance of a variety of detailed operations in related sequence or series.

At this level, the following factors should be considered:

Work is performed under supervision of a higher- level clerical or administrative person. Assignments are given in clerical terms. Duties involving standard methods are performed independently, with guidance provided as requested, and those involving nonstandard methods or materials are performed from specific instructions or guides.

Guidelines include a variety of procedural rules and regulations which are detailed, directly applicable and readily available; but some judgment is required to select from among standard office methods or to devise working procedures for own desk. This requires knowledge of a variety of standard procedures, an understanding of the terminology of the unit served. and some familiarity with work done in related departments.

Incumbents are responsible for accuracy, completeness and end products of work, and may assign and check the work of others.

Operational Duties

Carry out all phases of customer reception, greeting, problem solving, retention, and operations, including customer interactions, member activity maintenance and program sales, and member appreciation events as outlined by the Operations supervisor in an effort to retain members and ensure monthly program revenue goals are achieved or surpassed.

Wear uniform/dress code including nametag.

Help ensure the safety of staff and members by following and enforcing UCSF and Fitness and Recreation Policies

Proactively provide exceptional customer service and troubleshoot problems, creating win-win solutions for members. May require detailed review of member situation, payments, and facts.

Conflict resolution involving member to member disagreements

Represent Campus Life Services Fitness & Recreation at campus events (new student fair, student "Brain Bites" etc.)

Clearly communicate information regarding multiple new and on-going Fitness and Recreation programs and services to members, guests, and event attendees. Includes providing and clearly explaining organized, relevant informational handouts/schedules of program information, and answering questions as needed.

Read, understand and explain current and new Fitness and Recreation policies, programs and procedures to staff and customers. Includes responding to phone, e-mail, and web inquiries, as well as follow up when needed.

Participate in member retention programs as directed.

Participate and assist in member and staff facility evacuations due to fire alarm or UC Police direction

Assist in opening of facility in morning and/or close and secure at night during operational hours of the fitness centers

Administrative & Clerical Duties

Maintaining, straightening up and cleaning front desk, fitness floor and all facility areas. All equipment put in proper place at service desk and fitness areas.

Laundry and housekeeping duties including turn-over of laundry loads, loading and unloading machines, pick up and emptying of towel bins in locker room and fitness areas for laundry service. Folding towels, includes locker room and shower area clean up.

Assist in maintaining inventory for water and other retail items as applicable

Assist with data tracking and implementation of daily operations (Group Fitness classes and personal training bookings) and making recommendations to supervisor about what was successful and what needs to be improved.

Create monitor, and modify in real time the programs in the utilized scheduling software program used by clientele and staff for booking classes and events.

Process and secure all paper and electronic documents related to program registration for compliance and customer protection and security

Office technology competencies must include: phone & voicemail system, Microsoft word, e-mail systems, faxing, copying, printing, scanning, Filemaker, member and program database system (SNG), online member access/booking etc.

Current knowledge, understanding, training (when applicable) and use of University guidelines regarding PCI (payment card industry) compliance, cash handling, ethics training, cyber security, etc.

Resolve routine problems such as tracking personal training/Pilates appointments and cancellations. locating sources of financial transaction error, reporting and recording maintenance, facility and customer issues.

Assist with special projects as assigned by the Operations Manager or Operations Assistant Managers, including but not limited to locker inventory audits, refunds, data clean-up, promotion preparation. May involve data input and follow up with members through phone or e-mail.

Assist with explaining and training policies and procedures to new staff. This is to ensure new staff absorbs information, feel supported by their co-workers, and have the necessary tools to succeed in their reception and sales role.

Assist Operations supervisors in ordering Customer Service Desk supplies and making recommendations

Act as support staff for fitness programming staff for general membership related questions and/or membership information/contact look-up.

Keep a clean and organized workspace. Includes customer facing areas and Member Services' communal areas.
