C3 AI is seeking an Executive Assistant to provide dedicated weekend coverage within the Office of the CEO. This role exists to ensure the CEO's communications, commitments, and workflow continue without interruption across Saturday, Sunday, and one flex day during the week, in close partnership with the weekday CEO Office team. The Executive Assistant will operate as a trusted extension of the CEO's voice during off-hours - reading, triaging, and drafting on the CEO's behalf when most of the company is offline, exercising sharp independent judgment with minimal real-time support. This is a full-time role structured as three 12-hour shifts per week - covering Saturday, Sunday, and one flex day during the week - based out of our Redwood City, CA office. The role requires Bay Area residency; in-person presence at the Redwood City office or at the CEO's nearby residence is expected during shifts as needed.

Responsibilities:



  • Off-Hours Inbound Triage: Monitor inbound communications to the CEO across email and other channels throughout each shift. Read, categorize, and prioritize messages from executives, Board members, customers, investors, partners, and employees. Surface what requires the CEO's immediate attention, hold non-urgent items for Monday handoff, and route the rest to the appropriate owner.
  • Drafting and Correspondence: Draft replies, follow-ups, memos, and outbound communications on the CEO's behalf in the CEO's voice, including time-sensitive responses where the weekday team is offline. Ensure messages are crisp, accurate, and appropriately toned for the audience - from a one-line acknowledgment to a multi-paragraph executive response.
  • Onsite Presence and Logistics: Be physically present at the Redwood City office or at the CEO's residence in the area during shifts as the CEO's schedule requires. Coordinate onsite needs across both locations, including meeting setup, visitor reception, deliveries, and any time-sensitive in-person coordination.
  • Global Time-Zone Coverage: Use weekend hours to maintain responsiveness to international counterparts - APAC and EMEA Board members, customers, and partners - whose Monday morning is the CEO Office's Sunday evening.
  • Weekend-to-Weekday Handoff: Maintain a clean running log of inbound activity, draft replies sent, commitments made, and open items - then deliver a complete, decision-ready handoff to the weekday CEO Office team at the start of each week. Receive an equivalent handoff at the start of each weekend.
  • Follow-Through: Track commitments made by the CEO during the weekend, ensure responses and next steps are completed within expected timelines, and close loops on outstanding items before the handoff. Nothing slips between weekend and weekday coverage.
  • Coordination with the CEO Office: Partner closely with the weekday Executive Assistant, Chief of Staff, and broader CEO Office team to ensure continuity of voice, priority, and execution across all seven days. Flag emerging weekend patterns - recurring asks, escalations, customer pulses - that the weekday team should know about.
  • Information Routing: Capture context from weekend communications and pass it cleanly to the right internal owner - executive team, legal, finance, communications, or others - so the CEO's priorities drive action without bottlenecks, even on Monday morning.
  • Confidentiality: Handle highly sensitive business, strategic, and executive information with absolute discretion at all times, including any information observed at the CEO's residence.


Qualifications:



  • 7+ years of experience in an Executive Assistant, communications, or chief-of-staff-adjacent role supporting a C-suite executive.
  • Bachelor's degree required.
  • Exceptional written communication; demonstrated ability to write quickly, clearly, and in another person's voice across formal and informal registers.
  • Outstanding judgment on tone, priority, and audience; able to distinguish what merits the CEO's immediate weekend response from what can be held for Monday.
  • Demonstrated ability to operate autonomously with reduced real-time support - weekend coverage means the CEO Office, legal, finance, and communications teams are largely offline, and decisions about routing and tone must be made independently.
  • Meticulous attention to detail and follow-through; nothing slips, nothing is forgotten, and every weekend ends with a clean handoff to Monday.
  • Bay Area residence required; reliable transportation and the ability to be physically present at our Redwood City office or at the CEO's nearby residence on shift days, including on short notice.
  • Availability for three 12-hour shifts per week covering Saturday, Sunday, and one flex day to be set in partnership with the weekday CEO Office team. Hours align with the CEO's working rhythm, including early morning and late evening responsiveness across global time zones.
  • High EQ and professional poise; comfortable corresponding on the CEO's behalf with Board members, public-company executives, investors, and customers.
  • Fluent with Microsoft 365 and modern AI tools used to accelerate drafting and triage; hands-on experience with Claude strongly preferred.
  • Absolute discretion and integrity in handling confidential information, including any information observed at the CEO's residence.


Preferred Qualifications:



  • Prior experience drafting correspondence on behalf of a CEO at a public company or late-stage technology company.
  • Prior experience providing weekend, on-call, or off-hours coverage to a senior executive.
  • Prior experience supporting an executive across both office and residence environments.
  • Background in communications, executive support, journalism, or a writing-intensive professional discipline.
  • Experience operating as part of a CEO Office or executive staff team.
