Schedule This is a 32 hours per week position with a rotation of weekdays, day and evening shifts, 7 am - 3:30 pm and 11 am - 7:30 pm. Job Profile Summary This role focuses on providing administrative and business support to the organization in order to achieve operational goals. In addition, this role focuses on performing the following Clinical Administration duties: Long-term strategic planning, determines strategic issues and opportunities that could affect practice success, prioritizes and tracks investments across practices, allocates resources and makes decisions regarding practice growth, and develops need to accomplish the practice's vision. An organizational related support or service (administrative or clerical) role or a role that focuses on support of daily business activities (e.g., technical, clinical, non-clinical) operating in a "hands on" environment. The majority of time is spent in the delivery of support services or activities, typically under supervision. An experienced level role that requires basic knowledge of job procedures and tools obtained through work experience and may require vocational or technical education. Works under moderate supervision, problems are typically of a routine nature, but may at times require interpretation or deviation from standard procedures, and communicates information that requires some explanation or interpretation. Job Overview This position is responsible for managing a wide variety of administrative functions and the coordination of clinical practice operations projects for the Department of Medicine. This will include, but is not limited to: clinic operations support such as, clinic/patient flow, Press Ganey results, facilities management and space moves, and other operational projects. In addition, helps with analytics and special financial projects as needed. Job Description Minimum Qualifications: 1. High school diploma or equivalent. 2. Two (2) years of healthcare administrative experience. Preferred Qualifications: 1. Bachelor's degree. Duties and Responsibilities: The duties and responsibilities listed below are intended to describe the general nature of work and are not intended to be an all-inclusive list. Other duties and responsibilities may be assigned. 1. Supports the ambulatory practice operations and Division Administrator, Business Managers & Practice Managers in the practices on a variety of projects related to patient access, patient flow, marketing, facilities management, patient satisfaction, and referring physician satisfaction. 2. Develops and maintains practice performance measures and works to initiate process improvements as needed. 3. Works closely with the Administrative Director on monthly reporting of key statistics for the Department of Medicine as it pertains to the Department's Ambulatory Practices. 4. Performs analytic support on key metrics for the Department of Medicine. 5. Supports the team during the annual budget cycle and monthly variance analysis. 6. May help and support the department/divisions with physician credentialing, payor enrollment, and on-boarding of new physicians to the department. 7. Serves as a liaison to the credentialing office, enrollment department, Human Resources, payroll, Information Systems, and other services needed to ensure physicians are on-boarded successfully. 8. Supports the Division Administrator and/or Practice Management team with the implementation of new projects, policies & processes. 9. Serves as a back-up for practice support staff as needed to assist with the check-in, check-out, telephone access and/or other practice operations responsibilities. 10. Helps delivers monthly statistical reports related to physician referrals, physician activity and utilization of schedules, day end reconciliation issues and denials to clinic staff. Makes presentations to the administrative and physician staff. 11. Maintains collaborative, team relationships with peers and colleagues in order to effectively contribute to the working groups achievement of goals, and to help foster a positive work environment Physical Requirements: 1. Occasionally lift and/or move up to 25 lbs. 2. This is largely a sedentary role, which involves sitting most of the time, but may involve movements such as walking, standing, reaching, ascending/descending stairs and operating office equipment. 3. Frequently required to speak, hear, communicate and exchange information. 4. Ability to see and read computer displays, read fine print, and/or normal type size print and distinguish letters, numbers and symbols. Skills & Abilities: 1. Strong customer service skills including excellent interpersonal and telephone skills. 2. High degree of tact is necessary due to frequent interaction with patients, physicians, insurance companies and payors. 3. Demonstrated organizational skills and attention to detail. 4. Ability to independently prioritize work and to be extremely flexible in work assignments. 5. Ability to make professional presentations to management groups within the hospital. 6. Basic computer literacy. 7. Ability to perform data entry and retrievals. 8. Basic Microsoft Word, Excel and PowerPoint skills.
