Job Description

The Regional Support Coordinator will provide administrative support to the LEA Representatives and the Child Education Coordinators (CEC) I and II, taking on key administrative and coordination responsibilities, allowing them to focus more of their time and attention on supporting the children and families. This position will be in-office.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Serve as primary point of contact for the regional staff, handle and route inquiries to the proper person.
  • Coordinate schedules, manage timelines, and monitor critical deadlines to ensure compliance and continuity of services.
  • Set reminders and track follow-ups with families. This will increase timely communication and engagement.
  • Prepare, review, and maintain confidential documentation, and case records.
  • Support LEAs and Case Managers with case-related administrative tasks.
  • Provide coordination and support for regional initiatives and special projects.
  • Uploading signed paperwork into Docusign.
  • Sending paperwork, receiving paperwork- uploading to sprout/updating supp docs T2K Process
  • Sending and receiving ITRS
  • Re eval initiating and coordinating with providers, follow up with providers
  • Following up with providers for IEP input
  • Sending PMRS to families, follow up if necessary
  • Translation requests
  • Schedule interpreters
  • Updating demographic information in Sprout/HCSIS
  • Assist with family communication
  • Oversee and provide processing of electronic file transfers in HCSIS when there is a need
  • Coordinate special projects, as needed

QUALIFICATIONS

  • High School Diploma
  • Minimum of 3-5 years of administrative or office support experience
  • Two (2) years' experience in an educational setting strongly preferred
  • Strong customer service interaction and interpersonal skills with the ability to interact professionally with employees, families, and external agencies
  • Excellent verbal and written communication skills, including professional phone etiquette
  • Strong organizational skills with the ability to manage multiple tasks and prioritize responsibilities
  • Experience handling confidential or sensitive information with a high level of discretion and attention to privacy requirements.
  • Ability to review documentation for completeness and accuracy and maintain detailed records of requests and responses.
  • Demonstrated attention to detail, time management and organizational skills.
  • Demonstrate effective problem solving and decision-making skills, clear communication and appropriate interpersonal interactions to build and maintain positive, professional working relationships with little or no need for direct supervision
  • Demonstrated ability to work effectively as part of a team with cross-functional team experience (organizing and managing process) working with all levels of the organization, across departments, and with outside vendors
  • Demonstrated proficient experience with Microsoft Office applications, including Word, Excel, Outlook
  • Experience working with cloud-based documentation storage; MILNER system preferred.
  • Experience using Electronic Health Record (EHR) / Electronic Medical Record (EMR)
  • Knowledge of records maintenance, Family Educational Rights and Privacy Act (FERPA), Health Insurance
  • Portability and Accountability Act (HIPAA), and confidentiality rules, practices, and methods preferred
  • Demonstrate understanding of early childhood development principles and practices
