Rutgers University-Newark (RU-N), an urban public research university and anchor institution located in Newark, New Jersey, a city of promise, is seeking a Clerical Assistant. Reporting to the Chief of Staff and Vice Chancellor, this position provides general clerical and office support to ensure the smooth day-to-day operations of the unit. The role supports calendar coordination, front office coverage, and routine administrative functions, while maintaining a professional and customer-focused environment.
This position is responsible for, but not limited to, the following:

  • Provides calendar and scheduling support for assigned principal(s), including coordinating meetings, managing appointments, and maintaining accurate calendars
  • Serves as the first point of contact for the office, greeting visitors and responding to routine inquiries in a professional and welcoming manner
  • Assists with basic meeting logistics, including scheduling space and preparing meeting materials as needed
  • Maintains kitchen and general office supply inventory, ensuring shared spaces are organized, stocked, and operational
  • Coordinates routine supply orders and monitors inventory levels in accordance with established procedures
  • Provides clerical support, including filing, organizing documents, and performing basic data entry tasks
  • Supports general office operations and assists with routine administrative tasks as assigned
  • Performs duties with professionalism and handles information in accordance with university policies and guidelines

FLSA Nonexempt
Salary Details $15.92-$21 per hour

Consistent with the current application of Rutgers Policy 60.3.22, this position may be eligible for a hybrid work arrangement. The flexible work arrangements outlined in Rutgers Policy 60.3.22 are part of a pilot program that is effective September 1, 2022 through August 31, 2024. Therefore, there is no guarantee that this flexible work arrangement will continue beyond that date. Flexible work arrangements are not permanent, are subject to change or cancellation and contingent on the employee receiving approval in the FlexWork@RU Application System. Minimum Education and Experience
*High School diploma or equivalent, and/or up to 4 years of relevant office, clerical, bookkeeping, library assistant or related experience depending on the duties to be performed.
*An equivalent combination of education and/or experience may be substituted for the experience requirement.

Required Knowledge, Skills, and Abilities

  • This position performs routine clerical and administrative tasks following established procedures and guidelines.
  • The role exercises limited independent judgment in prioritizing daily tasks such as scheduling, responding to routine inquiries, and maintaining office supplies.
  • More complex issues, exceptions, or situations requiring interpretation of policy are referred to the Chief of Staff, Vice President, or designated supervisor. The position is expected to identify issues, seek clarification when needed, and ensure tasks are completed accurately and in a timely manner.
