The Opportunity:

The Digital Learning Innovation Lab (iLab) in the Division of Digital Learning (DDL) is seeking a Project Coordinator II. The Project Coordinator II will work directly with the iLab Director to strategically align, promote, and provide project management support for initiatives that contribute to our mission, which is to serve as an incubator for the next generation of digital learning by supporting faculty and staff in piloting, refining, and evaluating innovations that positively impact student success at scale. This includes managing project tasks, processes, and reporting for digital learning initiatives and events as well as supporting faculty participants. This position requires close collaboration with faculty, internal DDL staff, and other divisions of the university as well as coordination with organizations outside of UCF.

This is an Auxiliary (AUX) funded position. Employment is subject to availability of funding and may cease at the time funding for this employment is depleted.

Responsibilities:

Project Planning & Coordination:

  • Coordinate the day-to-day planning and implementation of iLab projects, pilots, and initiatives by developing and maintaining timelines, work plans, task lists, deliverables, and project workflows. Monitor progress, identify routine issues or barriers, follow up on action items, and keep leadership informed of project status, deadlines, and next steps to help ensure projects remain on schedule and aligned with strategic goals.

Stakeholder Communication & Collaboration:

  • Serve as a central point of coordination for project teams, faculty participants, staff, and campus partners by facilitating communication, organizing meetings, tracking follow-up items, and maintaining productive working relationships. Communicate project expectations, milestones, updates, and needed actions to support collaboration, stakeholder engagement, and successful execution of iLab initiatives.

Educational Technology Council governance and pilot processes:

  • Support Educational Technology Council governance activities and the educational technology life cycle by coordinating pilot-related workflows, communications, logistics, documentation, and follow-up. Assist with the intake, review, tracking, and implementation support for educational technology pilots and related initiatives to ensure timely progress, accurate records, and effective collaboration across stakeholders.

Documentation, Reporting & Process Support:

  • Create, organize, and maintain comprehensive project documentation, including project plans, meeting notes, status updates, process guides, records, and closeout materials. Generate, track, and report project data; support assessment and decision-making through timely reporting; and document or refine procedures that improve consistency, efficiency, and continuity across iLab operations and initiatives.

Tools, Systems & Data Management:

  • Maintain and support project management tools, data tracking systems, shared records, and related digital resources used to coordinate iLab work. Ensure information is accurate, current, and accessible; support routine updates to relevant systems or web-based content as assigned; and help maintain organized project and operational data that supports reporting and communication.

Administrative & Operational Support:

  • Provide administrative and operational support for iLab activities, including scheduling, meeting logistics, event coordination support, record maintenance, and other routine operational tasks that contribute to efficient unit operations. Assist with related internal processes and paperwork as needed to support project continuity and organizational needs.

Other duties as assigned:

  • Perform other related duties as assigned in support of the goals, priorities, and evolving work of the iLab and Digital Learning.

Minimum Qualifications:

Bachelor's or Master's degree and 2+ years of relevant experience; or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).

Preferred Qualifications:


  • Experience coordinating or leading technology-related projects, pilots, or implementations from planning through execution and assessment.

  • Demonstrated ability to manage multiple projects simultaneously, including overseeing timelines, deliverables, stakeholder communications, and project risks.

  • Experience supporting the evaluation, implementation, or administration of technology solutions, software platforms, or educational technologies.

  • Proven success developing and improving business processes, workflows, or project management practices to enhance operational effectiveness.

  • Ability to collaborate effectively with cross-functional teams and building productive partnerships with internal and external stakeholders.

  • Background in higher education, instructional technology, digital learning, academic support, or a related environment.

  • Familiarity with emerging technologies, including AI-enabled tools, and their application to improve productivity, collaboration, or digital learning initiatives.
