Salary Range: $55,000-$75,000 Per Year Project Coordinator Position Summary: The Project Coordinator provides administrative, operational, and project coordination support for one or more federal operations and maintenance (O&M) contracts. Working under the direction of the Project Manager, this position assists with planning, tracking, documenting, and coordinating project activities to support successful contract execution. The Project Coordinator serves as a central point of coordination between project management, field operations, subcontractors, corporate departments, and clients to ensure projects remain organized, compliant, and on schedule. This role develops foundational knowledge of federal contracting, FAR requirements, contract administration, and project management while supporting multiple projects simultaneously. This position does not have supervisory, budgeting approval, or profit and loss (P&L) responsibility. Essential Duties and Responsibilities: Project Coordination
- Support Project Managers in the planning, coordination, and execution of assigned contracts and task orders.
- Coordinate daily project activities to ensure schedules, deliverables, and milestones remain on track.
- Maintain project schedules, trackers, action item logs, and status reports.
- Assist with coordinating internal resources, subcontractors, suppliers, and vendors.
- Schedule and coordinate project meetings, prepare meeting agendas, record meeting minutes, and track action items through completion.
- Monitor project deliverables and follow up with responsible parties to ensure timely completion.
Contract Administration:
- Assist with administration of federal contracts, task orders, modifications, and project documentation.
- Coordinate work order and task order processing.
- Maintain organized electronic and hard-copy contract files.
- Prepare and distribute project correspondence and documentation.
- Assist with preparation and submission of contract deliverables.
- Ensure documentation is complete, accurate, and audit-ready.
Procurement and Financial Support:
- Assist with procurement activities including purchase requisitions, purchase orders, vendor coordination, and material tracking.
- Coordinate subcontractor documentation including insurance certificates, safety documentation, and contractual requirements.
- Assist with invoice preparation, subcontractor invoice review, and billing support.
- Track project expenditures and assist with maintaining project budgets.
- Support change order documentation and contract modifications.
Reporting and Compliance
- Compile project reports, dashboards, and Key Performance Indicators (KPIs).
- Assist with collecting and organizing operational data for monthly client reports.
- Track contract performance metrics.
- Support compliance with company policies, contract requirements, and applicable federal regulations.
- Maintain documentation supporting internal and external audits.
Communication and Client Support
- Serve as a liaison between project teams, subcontractors, corporate support departments, and clients.
- Coordinate information requests and document distribution.
- Provide timely communication regarding project status and outstanding action items.
- Support Project Managers during client meetings and contract reviews.
Travel Requirements
- Travel may be required to customer sites, project locations, company offices, conferences, and training events.
- Travel requirements will vary based on project assignments and business needs.
- A valid driver's license and the ability to travel by automobile and commercial airline, when required, are expected.
Other Duties
- Perform other duties and responsibilities as assigned to support contract performance, project execution, business operations, and organizational objectives.

Minimum Qualifications: Education Bachelor's degree in:
- Business Administration
- Construction Management
- Project Management
- Engineering
- Finance
- Public Administration
- Or a related field
Equivalent combinations of education and relevant experience may be considered. Experience
- 0-3 years of project coordination, administrative, operations, construction, facilities management, or government contracting experience.
- Internship or cooperative education experience in project management or government contracting is preferred.

Physical Requirements
- Ability to work in an office environment with occasional visits to active project sites.
- Ability to sit, stand, walk, and use a computer for extended periods.
- Occasionally lift or move up to 25 pounds.
