What You Will Do:

The Customer Service Receptionist serves as the primary point of contact for students, prospective students, faculty, staff, alumni, and visitors at National Louis University's Chicago campus. This role provides front desk and customer service support by greeting visitors, answering and routing incoming calls, responding to inquiries, and connecting individuals with appropriate university resources and services. The position plays a critical role in creating a welcoming campus experience, ensuring accurate information is provided, and supporting student access to enrollment and student service functions. The ideal candidate demonstrates professionalism, strong communication skills, attention to detail, and the ability to effectively manage multiple priorities in a fast-paced environment.



Essential Responsibilities

Front Desk Operations & Customer Service:

    Serve as the primary receptionist for the Chicago campus, providing a professional, welcoming, and service-oriented experience for students, visitors, faculty, staff, and external partners.
  • Answer, screen, and route a high volume of incoming telephone calls and electronic inquiries to the appropriate department, office, or staff member.
  • Provide accurate information regarding university services, enrollment processes, campus resources, office locations, and operating hours.
  • Assist students and prospective students by identifying needs, answering general questions, and connecting them with Enrollment, Advising, Financial Aid, Student Finance, Registrar, Student Affairs, Academic Programs, and other university services.
  • Resolve routine inquiries and service concerns while exercising sound judgment in escalating complex issues to appropriate campus partners.
  • Monitor shared communication channels, voicemail boxes, and service queues to ensure timely follow-up and resolution of inquiries.
  • Maintain the reception area and related materials to ensure an organized, professional, and welcoming environment.
  • Protect the confidentiality of student and institutional information in accordance with FERPA and university policies.
  • Collaborate with departments across the university to support a positive and seamless student experience.

Enrollment & Student Service Support:

  • Provide operational support during registration periods, term starts, commencement activities, open houses, orientations, and other high-volume student service initiatives.
  • Assist with student traffic flow, event logistics, and information dissemination during campus-wide events.

Administrative Support:

  • Perform data entry, document processing, supply management, filing, and other administrative support activities as assigned.
  • Support special projects and complete additional duties as assigned.


Qualifications

  • High School Diploma/GED equivalent
  • At least one year of experience in customer service, reception, call center, front desk, or administrative support experience
  • Ability to manage multiple communication channels including phone, email and in-person inquires
  • Proficiency in Microsoft Office Suite (i.e. Outlook, Word, Excel, Teams, etc.)
  • Experience working with customer information systems, office software, and/or student information systems
  • Strong customer service focus and communication skills
  • Responsive to change and adapts well to new challenges

The salary range of the grade for this position is $17.05 to $21.75 per hour (typical workweek is 37.5 hours). Compensation decisions are dependent upon the facts and circumstances of each position and candidate. Offers are based on multiple factors permitted by law, including but not limited to: budgetary considerations, job-related knowledge/skills, experience, market considerations, tenure and standing with the university (applicable to current employees), and internal equity.
