We are seeking a Practice Specialist with strong organizational, communication and project management skills to assist the leader of our US insurance transactional and regulatory practice. This is a fast-growing practice with a client base that includes some of the largest insurance companies and brokers in the world as well as private equity funds and other insurance sector participants. This position will provide support across a range of areas critical to the success of the practice, including client development, client intake, matter set up and management, pricing and fee arrangements, billing and collections, and key practice group initiatives (including internal and external training sessions).

Working closely with practice leadership, this individual will help drive the growth of the practice and help manage and coordinate key aspects of the business side of the practice. The role will require coordination with attorneys across the firm, clients, and various internal teams, including client accounting, compliance, pricing and others.

Responsibilities include but are not limited to:

  • Assist with coordination and scheduling of client meetings/visits

  • Take ownership of practice-specific operational processes

  • Facilitate coordination across support roles, including Practice Coordinator and Biller, and lead projects that require coordination with multiple internal teams

  • Assist with client intake and key client/matter set-up functions, including new client/matter intake processes, preparation and negotiation of engagement letters, and outside counsel guidelines

  • Coordinate with pricing team to ensure US and international attorney rates are consistent with client requirements and to support development and implementation of fee arrangements, including alternative fee arrangements (AFAs)

  • Track and monitor matter progress, financial performance, and client-specific requirements

  • Develop and implement processes to ensure that client invoices are submitted consistent with practice and client requirements

  • Manage the full billing cycle, including review and submission of client invoices

  • Manage accounts receivable and collections processes, including follow-up on outstanding invoices and resolution of billing inquiries

  • Serve as a primary contact for practice leadership on client/matter-related financial and administrative processes

  • Lead coordination of internal and external meetings and trainings across domestic and international teams and offices

  • Support various client and matter requests requiring coordination across internal functions

  • Identify process improvements to enhance efficiency across intake, billing, and collections workflows

  • Escalate issues that may impact revenue realization or client experience

Qualifications and experience:

  • Bachelor's degree in Business or a related field

  • In lieu of a bachelor's degree, 4 years of professional work experience, preferably at a law firm or other professional services environment.

  • Experience in a project management or financial operations role in a professional services environment

  • Ability to manage multiple priorities in a fast-paced environment

  • Strong organizational, analytical, project management and problem-solving skills

  • Excellent communication skills with the ability to work effectively with attorneys, clients and internal teams

  • Willingness and ability to learn key firm and client processes and tools, including billing systems/processes, pricing and fee arrangements, matter tracking and management, and collections
