| Primary Purpose of Position |
The Administrative Support Associate will provide confidential administrative support to the Cato College of Education Associate Deans, representing the Office in interactions with students, faculty, staff, and members of the community. |

Required Minimum Qualifications:
Graduation from high school; or an equivalent combination of education and experience.

| Essential Job Duties |
Executive Administrative & Calendar Management: Serve as the primary administrative point of contact for the Cato College of Education Associate Deans. Proactively manage complex calendars, coordinate and schedule internal/external meetings, organize itineraries, arrange travel accommodations, and prepare briefing materials and agendas for daily commitments.
Office Operations & Communication: Coordinate daily office operations for the Dean's Office, maintaining a high standard of confidentiality, professionalism, and customer service. Greet visitors, screen incoming calls and emails, draft and edit official correspondence, and handle inquiries from faculty, staff, students, and community partners.
Budget & Financial Support: Assist with monitoring department budget accounts, preparing expense reports, processing purchasing requisitions, tracking travel reimbursements, and processing invoices in compliance with university financial policies and procedures.
Project & Event Coordination: Provide logistical support for college-wide events, committee meetings, faculty searches, and special initiatives. Coordinate room reservations, catering, technology needs, and meeting distribution materials to ensure smooth execution.
Document & Data Management: Maintain organized physical and digital records management systems. Compile data, assist with report preparation, manage file archives, and ensure office compliance with university administrative standards. |
| Other Work Responsibilities |
Ad Hoc Administrative Support: Performs additional duties as assigned by the Associate Deans or Dean's Office leadership to support changing department needs and priorities.
Backup Support & Coverage: Provides coverage and administrative support for other office staff during absences, peak periods, or high-volume workflows.
Special Projects & Committees: Participates in college-wide projects, administrative committees, or continuous process improvement initiatives as assigned. |

- Ability to represent the Associate Deans with professionalism, exercising tact and judgment in interactions with students, faculty, staff, and members of the community.
- Ability to work independently, problem solve, take initiative, set priorities, and handle multiple projects efficiently and effectively.
- Experience managing budgets, managing calendars, scheduling meetings and appointments. Strong writing skills; ability to compose and draft communications.
- Experience with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite.
