DEPARTMENT OVERVIEW

The Information Technology (IT) Department is a security first organization. We deliver data and technology services and, through collaboration with partners, transform the role of Information Technology to advance the UC mission. We maintain an innovative, inclusive, and supportive work environment. Within IT, the Digital Innovation and Technology (DigIT) team runs UCOP's Automation and AI function, including the AI Buddy Program and the AI Community of Practice.

POSITION SUMMARY

The Student AI Coach provides practical, student level support to the UCOP AI Program while gaining hands on experience with approved artificial intelligence tools and their application in a higher education workplace. This role is designed for currently enrolled University of California students and emphasizes learning, mentorship, supervised skill development, and practical service to UCOP employees and teams.

Under guidance from UCOP AI Program staff, the Student AI Coach will assist with defined coaching, resource development, and program support assignments of limited scope and complexity. Students will help employees use approved AI tools, develop reusable resources, document use cases and reported time savings, and support the AI Buddy Program. Work products and recommendations will be reviewed by program staff, and students will not independently establish AI policy, approve tools, or provide authoritative guidance on privacy, security, legal, or governance requirements. The appointment is anticipated to begin in Fall 2026 and continue through June 30, 2027, with schedules structured around academic commitments.

Students will have the opportunity to:

Assist with office hours and individual or small group sessions that help employees use approved AI tools.

Learn about team workflows and, with guidance, help employees identify practical ways to use approved AI tools in routine work activities.

Support the AI Buddy Program by assisting mentors and participants with common questions and challenges.

Develop and update starter kits, prompt libraries, and short guides using established program templates and guidance.

Document use cases, reported time savings, recurring questions, and team needs for review by the UCOP AI Program.

Collaborate with other Student AI Coaches and participate in program meetings, learning activities, and cohort events.

LEARNING & DEVELOPMENT

This academic year student appointment provides exposure to practical AI enablement, employee support, responsible use of approved AI tools, and program operations within a large public university system. Student AI Coaches will receive ongoing supervision, mentoring, feedback, and opportunities to build communication, coaching, documentation, and applied AI skills throughout the appointment.

Responsibilities

45% Coaching and Enablement. With guidance from UCOP AI Program staff, assist with office hours and individual or small group coaching. Learn about team workflows and help employees use approved AI tools for practical workplace tasks. Support AI Buddy participants with common questions and refer complex issues to program staff.

25% Reusable Resources. Develop and maintain starter kits, prompt libraries, and short guides tailored to UCOP workflows using established templates and program guidance. Draft materials for review and approval by program staff.

15% Impact and Reporting. Gather and organize information about use cases, reported time savings, office hour activity, outcomes, recurring questions, and team needs. Maintain program documentation and assist with basic summaries and reporting.

15% Program Support and Learning. Assist AI Buddy mentors, participate in the AI Community of Practice, attend team meetings and learning activities, and document effective practices. Receive ongoing supervision, mentoring, and feedback throughout the appointment.

Required Qualifications

  • Interest in artificial intelligence and a desire to learn how approved AI tools can be applied to workplace activities.
  • Demonstrated experience using generative AI tools such as ChatGPT Edu, Microsoft 365 Copilot, Box AI, or similar tools for academic, work, volunteer, or project activities.
  • Effective interpersonal and verbal communication skills and the ability to work collaboratively with employees across teams and departments.
  • Effective writing and organizational skills, including the ability to communicate information clearly to a range of audiences.
  • Reliable and able to manage assigned tasks in a structured environment, seek guidance when appropriate, and balance approximately 10 to 20 hours per week with an academic schedule.

PREFERRED QUALIFICATIONS

  • Experience explaining technical concepts, tutoring, peer mentoring, coaching, customer service, teaching, or providing user support.
  • Experience developing written instructions, guides, presentations, prompts, or other practical resources for users.
  • Interest in responsible AI use, higher education, public service, or organizational improvement.

  • Must be a currently enrolled University of California student.

SALARY AND BENEFITS

Salary: $25.00 - $26.39 hourly commensurate with skills/experience

Payroll title and classification: STDT 3 - 4920

ADDITIONAL INFORMATION

This position is 100% remote within California, with participation in occasional program activities as needed.

Approximately 10 to 20 hours per week, scheduled around classes and program needs.

Appointment is anticipated to begin in Fall 2026 and continue through June 30, 2027.

The position is not eligible for Visa sponsorship.
