Position Title: City Coordination/Corps Administrative Assistant
Corps/Department: Salvation Army, Anchorage City Coordination
Reports To: Anchorage City Coordinators
FLSA Status: Full-Time / 40 hours per week; Non-Exempt
Rate of Pay: $22-24/Hr. DOE

Scope of Position/Essential Functions:
The position performs a wide variety of detailed and advanced administrative duties. Assignments are performed with some independence and require sound judgment and decision-making, but remain in conformance with established office policies and guidelines. Provide high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. Maintain the volunteer database and actively recruit volunteers. May also train and supervise volunteers.

Education and Work Experience:
* High school or equivalent.
* Proficiency with computers, Canva, and the Microsoft suite. Ability and willingness to learn Salvation Army-specific databases.
* Strong proofreading and editing skills; thorough knowledge of correct grammar, punctuation, and spelling.
* Ability to organize and prioritize tasks while working cohesively and collaboratively with co-workers, supervisors, visitors, vendors, and clients.
* Ability to maintain regular and punctual attendance and to demonstrate professional conduct at all times, including absolute adherence to confidentiality standards.
* Current Alaska driver's license with acceptable driving and criminal history reports
Essential Functions:
* Understand, clearly support, and promote the mission of The Salvation Army.
* Assist with written, verbal, and electronic communications, including creating, formatting, and preparing a variety of official letters and documents, and flyers, both physical and electronic as needed
* Prepare reports, letters, financial statements, and other documents, using word processing, spreadsheet, database, or presentation software.
* Open, sort, and distribute incoming correspondence, including faxes and general email.
* Perform general office duties, such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work.
* Answer phone calls, direct them to appropriate parties, or take messages.
* Assist in personnel processes such as new hire paperwork, interview scheduling, personnel action forms, and distribution of forms to Human Resources
* Work with Corps officers and City Coordinators to manage volunteers, including, but not limited to, recruitment, maintaining the volunteer database, and sending reminders to volunteers.
* Assist with standing in on light case management and disbursements of vouchers, goods, and other necessary items
* Builds and maintains positive professional relationships with all other programs within the organization.
* Works on special projects and performs other related duties as assigned.
* Assists with community center operations when necessary.
* Helps keep the building clean.

Work Environment:
Work is performed in a heated and ventilated institutional setting. Noise level is low. This position does not require exposure to extreme temperatures.
Physical Requirements:
* Ability to sit, walk, stand, bend, squat, climb, kneel, and twist on an intermittent basis.
* Ability to grasp, push/pull objects, and reach overhead.
* Ability to see and hear at normal ranges with corrective devices, if necessary.
* Ability to lift up to 35 lbs.
* Ability to understand and produce written and verbal information.
* Ability to operate a motor vehicle in daylight, darkness, and in inclement weather conditions.

Language Skills: Must be able to understand, follow, and give both written and oral instructions in English.

Mathematical Skills: Must be able to perform simple calculations (addition, subtraction, multiplication, and division) and apply concepts such as ratios and percentages in practical situations.

Performance Skills: Must be creative, self-motivated, organized, flexible, and possess leadership skills.

Trainings: Must complete the online training courses necessary for employment in The Salvation Army within designated time frames.
